WiscCal - Importing Class Schedule and Campus Events


This document provides you with instructions to import event calendars (UW events and student course schedules) into your WiscCal account.

IMPORTANT: When you subscribe to a group of events (for example, Academic Calendar) the system only adds the current/upcoming academic year of events to your calendar. That means that when you go to the web site you will get the events that UW Communications decides to publish via WiscCal. To view the event calendar series prior to importing it, click on the calendar icon (calender image) next to the event series name.

Caveat #1: When importing your class schedule, you will notice that all your classes will appear on the first day of the semester regardless of the actual days they repeat on. The import utility which we are using to import the class schedule has been coded to create all entries on the 'DTSTART' date, even though the class may not repeat on that day. For this semester, it is "20090901". We have contacted Oracle and made them aware of this issue. They have added this request as an enhancement feature (they do not believe this is a bug) and hope to address this in a future version of this utility. You have two options:

Caveat #2: The Event Importing feature is not a true subscription process, meaning events are not dynamically updated in your calendar if/when details of a given event change within the original source data (e.g., a football game time is changed). Also, when you import your events, you are only doing so for a set time period (e.g., one year); events are not imported in perpetuity. In order to display updated data in your calendar, you must either use the Refresh Calendar Data function below or remove and then re-import the calendar data.

Import Calendar Data:

  1. Access WiscCal Administration site.

  2. Within the header menu, click on "Import". The import page will be loaded. Depending on your student status, you will see something similar to the following:

  3. Click on the specific section heading to expand that area.

  4. Place a check mark next to the series you want to import (within a section) and click on the "Import" button.

    Depending on the amount of events within the selected series, please be patient. A message will be returned once the import process has completed.

If the import process was successful, the data should now appear within your WiscCal account. You may need to refresh your WiscCal window if the data did not appear.

Remove Calendar Data:

  1. Access WiscCal Administration site.

  2. Within the header menu, click on "Import". The import page will be loaded. Depending on your student status, you will see something similar to the following:

  3. Click on the 'imported event/resource calendar(s)' section heading to expand that area.

  4. Place a check mark next to the series you want to remove and click on the "Remove Selected Calendars" button.

    Depending on the amount of events within the selected series, please be patient. A message will be returned once the remove process has completed.

If the remove process was successful, the data should have been removed from within your WiscCal account. You may need to refresh your WiscCal window if the data did not get removed.

Note: The remove process will only delete events from today forward. If events exists in the past, those will not be removed from your WiscCal calendar.

Refresh Calendar Data:

  1. Access WiscCal Administration site.

  2. Within the header menu, click on "Import". The import page will be loaded. Depending on your student status, you will see something similar to the following:

  3. Click on the 'imported event/resource calendar(s)' section heading to expand that area.

  4. Click on the "Refresh All Calendars" button.

    Depending on the amount of events within the calendars you have imported, please be patient. A message will be returned once the refresh process has completed.

This process will perform a remove on all your imported calendars, then re-import each one again. This will allow you to see updated data if any exist.
