Step 1: Attempt NetID recovery

If a non-UW Affiliates thinks they may have a NetID from previous work at UW, have them try to recover their NetID before requesting a new one to avoid duplicate identities.

If any of your collaborators have worked at UW before (either as employees or contractors), they might already have a NetID set up. Step 2: Contact OHR via email

Email OHR with the request below, making sure to CC all appropriate contacts.

Replace placeholders like [UW SERVICE NAME] and format for clarity.

To request NetIDs for your Non-UW Collaborators, please send the following request to UW-Madison's Office of Human Resources. The collaborators will then receive a message from OHR within 24 hours containing their new Campus ID and a NetID activation link. --- Email request to: netid@ohr.wisc.edu Cc: UW Affiliate/Requestor, your direct team members, your supervising staff, your manager, etc. Email subject: Request to Activate a NetID for my Team's Non-UW Collaborator Email body: I am an admin of [UW SERVICE NAME] [subgroup/project/etc.]. My non-UW Affiliated collaborators [COLLABORATOR NAMEs] need access to [UW SERVICE NAME]. [COLLABORATOR NAME] will be [list multiple explicit reasons users need access and their duties to be performed within the DoIT service] Non-UW Collaborator Information: First Name: Last Name: Email Address: Date of Birth: MM/DD/YY Sponsoring UW-Madison UDDS number: Beginning and end dates access is needed: MM/DD/YY-MM/DD/YY --- Here's part of an example email: I am the admin of the "Board of Regents" DoIT Gitlab Project. My non-UW Affiliated collaborator Buckingham U. Badger needs access to DoIT Gitlab. Buckingham U. Badger will be monitoring adherence to UW Branding in our team's project. You can duplicate the "Non-UW Collaborator Information" section for each collaborator. Please feel free to reach out with any questions or if your collaborators don't receive a message from OHR.

Step 3: Confirm OHR response

Once the request is sent to OHR, each collaborator should receive an email response within 24 hours:
