Extension Faculty Administrative Five-year Review Policy

Rationale/Purpose of the Policy 

Department of Extension Faculty (reviewee) who are in 100% limited appointment administrative positions are required to have a 5-year comprehensive review.  These reviews will be conducted in May at five-year intervals. 

 

Definitions

  • DE - Department of Extension Faculty
  • Reviewee - The DE member who holds a 100% FTE limited appointment administrative position who is undergoing the 5-year comprehensive review.

Scope

Applies to Division of Extension Faculty who hold 100% FTE limited appointment administrative positions. 

Policy Details

  • A small committee comprised of the relevant academic associate dean, Extension human resource director, and chaired by the reviewee’s supervisor will conduct the review.  When an academic associate dean is being reviewed the dean will chair the committee and will invite the academic department chair, and human resources director to be on the review committee.
  • A short 360-degree survey will be developed by the committee and distributed to all staff who directly report to or closely interact with the reviewee, to relevant faculty and administrators who closely interact with the reviewee on a regular basis, and to key external partners who engage regularly with the reviewee. A final list of participants will be created by the committee, which may include a solicitation of recommendations from the reviewee. If the committee deems necessary, they may extend a request to interview faculty, staff, or partners as a part of the 360 reviews. The review will focus on the reviewee’s administrative work relevant to their job description; faculty type work may be included in the review, if relevant.  In the case where an administrator decides to return to a faculty role the review would be cancelled. 
  • The reviewee will provide the review committee and the dean with a Curricula Vitae (CV), annual review summaries from the prior five years, and a brief document (two pages or less) synthesizing significant achievements, areas of strength, and professional development and career goals.
  • The committee will review materials provided by the faculty member and summarize the 360 survey results, annual reviews, and other materials to develop a summary document to share and discuss with the reviewee.  Based on the discussion with the reviewee and summarized materials, the supervisor, academic associate dean and HR Director will make a recommendation to the dean on whether the faculty member should remain in a limited term appointment or whether they should return to their faculty role. The dean and academic associate dean will meet with the reviewee to discuss next steps.  In a situation where an administrator will be moving back to a faculty role the academic department chair and dean will develop a transition plan to support the faculty member. At the conclusion of the meeting, results of the next steps will be shared with the Academic Department Chair.
