Overview
These titles designate graduate or professional students employed to assist with research, training or other academic programs or projects. These positions are required to recruit new PA positions (on both the Student Job Board site and on the Department Bulletin Board). The following steps are where to post for the Project or Program Assistant position and what information is needed for your HR Generalist to draft an appointment letter.
Step 1: Recruitment through UW-Madison Student Job Board
- Post the position on the Student Job board site: https://studentjobs.wisc.edu/ as well as posted on the department bulletin board. A determined interview procedure should follow.
- Frequently asked questions for the student job board are at the bottom of the page.
- Questions about the posting (I.e. changing details, the system itself) contact Student Employment at student.employment@finaid.wisc.edu
- Review applicants, interview, select and verbally offer the position to the candidate.
- Inform your HR Generalist about the individual you would like to hire.
Step 2: Gather Basic Info and Email it to Russell HR to be able to Draft Appointment Letter
Please gather the following information and email it to your Russell Labs HR generalist:
- Employee’s name and email address
- Funding
- Start/end date
- Their stipend will need to follow the posted rates: https://grad.wisc.edu/funding/graduate-assistantships/
- FTE
Step 3: HR will Send Appointment Letter to Individual and CC Supervisor
- With information provided above, HR will draft the appointment letter and email it to the individual and CC the supervisor
- Once the individual has returned a signed copy of the appointment letter, HR will proceed with completing the new hire paperwork (if a previous position was not held).
