Reports for Preventing Sexual Harassment and Sexual Violence (PSHSV)/Cybersecurity Awareness
Departments can check employee training completion for Preventing Sexual Harassment and Sexual Violence (PSHSV) or Cybersecurity Awareness.
Preventing Sexual Harassment/Sexual Violence Training
- Go to Tableau, https://tableau.wisconsin.edu/#/home
- Use the search bar located in the top right to find “Preventing Sexual Harassment Training Audit.”
- Double click the “List of Individuals” page to open.
- In the left-hand column, select drop down option for Training Status, “All” is recommended; then select drop down for Division, unclick “All”, click “48 College of Letters and Science” and “Apply ”; Click outside the margin to remove the drop-down menu if it still appears.
- Repeat process for Select Department, unclick “All” and select specific department and “Apply”. **There are also drop downs to select by Individual, Empl ID, Employee Class, Days to Expiration, Status by Date.
- To download the spreadsheet, go to the upper right hand corner, click the download symbol, then select “Crosstab” then “Excel” and “List” view; click “Download” and a spreadsheet will get created in Excel.
Reports will list staff with last Completion date, Yes/No if completion is needed, Days until expiration, and Current status.
Cybersecurity Training
- Go to Tableau, https://tableau.wisconsin.edu/#/home
- Use the search bar located in the top right to find “Cybersecurity Awareness Training Audit”.
- Double click the “List of Individuals” page to open.
- In the left-hand column, select drop down option for Population; then select drop down for Division, unclick “All”, click “48 College of Letters and Science” and “Apply” at the bottom of the drop-down; Click outside the margin to remove the drop-down menu if it still appears.
- Repeat process for Select Department, unclick “All” and select specific department and “Apply”. **There are also drop downs to select by Sub department, Training Status (can leave to All or select Completed, Not Completed) Employee Class, UW Pay Basis, Individual and Empl ID. The Days to Expiry Range can also be adjusted.
- To download the spreadsheet, go to the upper right hand corner, click the download symbol, then select “Crosstab” then “Excel” and “List” view; click “Download” and a spreadsheet will get created in Excel.
Reports will include staff who completed and have yet to complete the training. Those who have completed the training within the last twelve months (meeting the campus requirement) will have the last completion date displayed, and the number of days until the next completion is required.
Since employees are required to complete the training annually, they can check their last completion date by checking their Employee Transcript to find the date by following these steps from the Cybersecurity webpage (https://it.wisc.edu/about/division-of-information-technology/enterprise-information-security-services/office-of-cybersecurity/cybersecurity-awareness-training/ ):
- Go to My Registrations and Learning Transcript webpage (Source: talent.wisc.edu) on the Office of Human Resources website. You may need to sign in with your NetID and password.
- Click on the TRANSCRIPT tab.
- Go to the EVENT column to find Cybersecurity Awareness Training (previous year).
- Look at the DATE column (one column over to the right)
- You need to complete the training annually
- If you do not see the training listed in either place, you have not yet registered for the training.
You may want to add a reminder to your calendar to complete the Cybersecurity Awareness Training for the following year.
Campus Requirements:
- Cybersecurity
- Must be completed upon hire and every year thereafter.
- Preventing Sexual Harassment and Sexual Violence Training
- Must be completed upon hire and every four years thereafter
Graduate student employees are required to complete Cybersecurity training, so the platform has been migrated to include graduate students. If the Cybersecurity Awareness Training Completion List does not appear in Tableau, department administrators will need to request authorization from campus.
With the rollout of the 2022 Cybersecurity Awareness Training, there is a change to the Cybersecurity Awareness Training Audit. UW-System policy requires all employees to take Cybersecurity Awareness Training. This includes student hourly and graduate student employees.
To check for student access, follow this process:
With the addition of student employee information in the Training Audit, the data access requires the person viewing the Training Audit to have access to both the Employee Record Data Internal group and the Student Record Data Internal access group. Some of you may already have the Student record access if you are already accessing the Campus Security Authorities Training Audit.
How to know if you have Student Record Data internal access:
- Click on the link to the training above. If it does not open and indicates you do not have permissions, you do not have access.
