Expense Reports Information and Life Cyle
The life cycle of an expense report - and tips and tricks in submitting one.
Reminders on booking travel:
- Before you travel ensure that you are following all University Policies and Procedures.
- You can check with the DA for clarification, who will also be the contact the Dean's office if needed.
- Getting Reimbursed has a lot of information and has the link to access the reimbursement site.
- If traveling internationally you must purchase Cultural Insurance Services International (CISI)
- Do not use 3rd party sites to book hotel. Always check the conference link to make sure it goes right to the hotel!
- The DA can use the P-Card to purchase flights, lodging, and conference registrations. Use the form to book.
- Concur, Concur, Concur.
What to include:
- Itinerary Template
- Any-prepaid expenses and include the receipts.
- Please provide a clear business purpose for this expense claim. Business purposes must:
- have a clear benefit to the university and
- adequately describe the expense as necessary, reasonable, and appropriate. (all expenses must support or advance the goals, objectives, and mission of UW-Madison). (See KB Expense Report Justifications)
- You must convert any foreign currency into US dollars. Approved website: Oanda
- All receipts must be translated into English.
Once Submitted:
- The DA will contact you within one business days for any clarification.
- The default funding the DA will apply will be the funds with the earliest end date, otherwise email the DA with the fund you would like used.
- The DA will approve within two business days if no further clarification is needed.
After DA Approves:
- If the Deans office has any questions, the DA will act as liaison.
- It can take 1-2 weeks for Dean's office approval.
- Payment will go to the direct deposit payroll has on file.
