Acuity One45 - Schedule Reports

This document outlines which reports are available for scheduling and how to pull them within Acuity One45 at SMPH.

To Access Schedule Reports:

  1. Click on Schedules tab at the top of the screen.
  2. Click on Print Views under Curriculum on the left-hand side.

Courses and Mappings

Courses and Mappings

To generate the Courses and Mappings report:

  1. Select the first option titled Courses and Mappings. On the right, customize the type of data you wish to export and click View.

  2. You'll be able to see that course and sub-course information is included in your printable excel file, if selected. 
    1. If the export includes mappings, both the Mappings tab and Objectives tab of the curriculum moment are included in the export.

  3. When you select to include custom mappings, if you click on a parent mapping from the selection list, then all of the child mappings will also be selected by default. Subsequently if you deselect a parent mapping from the list, then all child mappings will be deselected.
  4. You can also include Objectives as part of the export.

Facilitator Reports

Facilitator Reports

To generate the Facilitator Report:

  1. Select Facilitator Reports.

  2. Pick the portfolio to report on. Click view.
  3. Your browser will prompt you to open/view the excel file or save it. Please note that any changes you make to this export file will not be reflected in your curriculum schedule.
  4. This report contains the following information:
    1. Course
    2. Activity Type
    3. Session
    4. Contact Hours
    5. Section
    6. Date
    7. Start Time
    8. End Time
    9. Duration
    10. Room
    11. Last Name
    12. First Name
    13. One45 ID
    14. Role
    15. Department
    16. Confirm Note
    17. Confirmed By
    18. Confirmed Date
  5. This file contains a tab called Unconfirmed Facilitators and refers to the area of the curriculum management tool where you attach Facilitators to the curriculum course, sub-course, session or section via the People tab.

Curriculum Schedule

To export the curriculum schedule as an excel document:

    1. Select Curriculum Schedule.
    2. Choose the date range.
    3. Click on the view button.

  1. Your browser will prompt you to open/view the excel file or save it. Please note that any changes you make to this export file will not be reflected in your curriculum schedule.
  2. This report shows the following:
    1. Date
    2. Time
    3. Duration
    4. Course
    5. Sub-Courses
    6. Activity Type
    7. Session
    8. Contact Hours
    9. Location
    10. Facilitator

Gap/Redundancy Analysis

Gap/Redundancy Analysis

To generate the Gap/Redundancy Analysis report:

  1. Select the option titled Gap/Redundancy Analysis. 
  2. Choose the necessary reporting details.
  3. Select the academic year from the dropdown menu.
    1. Choose the Course or Courses you'd like to include.
    2. Choose the Mapping list.

    3. Choose the Options for counting mappings:
      1. Course row displays a subtotal of the number of times a mapping list item is associated with sessions or session objectives within the course. This will show 1 row with only the sessions included.
      2. Course row  displays the number of times a mapping list item is associated with the course or a course objective. This will show 1 row with only the courses included.
      3. Course row displays the number of times a mapping list item is attached to the course or course objectives and the session subtotal. This will show both sessions as well as courses.
    4. Click Show report to have the report open in another tab or click view to open the report in excel.

  4. Depending on how much information there is, it may take awhile to load the report.  While you are waiting you will see a progress bar
  5. Once the report has loaded you will see the course name listed and then the moment type. The first item on the list will be the name of the list itself with a total of how many times any item from that list appears in your curriculum. As you scroll to the right you will see all of the names of the mapping items in that list. The numbers tell you how many times the list item was mapped in your curriculum and at which level.
  6. The course will show you how many times the item is mapped to the course level.
  7. The session total will show how many times it is mapped to the session level.
  8. To find out which session the item is mapped to, click on the triangle next to the course name to show the sessions.  Scroll down to find the number beside the session that has the item.

Curriculum Relationship Report

In order to access the Curriculum Relationship Report:

  1. Select the option titled Curriculum Relationship Report.
  2. Select the academic year from the dropdown menu and then choose which courses to report on. Choose the mapping list(s) you wish to report on.

  3. Click Show report to have the report open in another tab or Export to Excel to open the report in Excel.

  4. Depending on how much information there is, it may take awhile to load the report. While you are waiting you will see a progress bar. The more data you include in your report, the longer it will take to load. While you are waiting you may go back to the main page and navigate away from the Print views page without disrupting the report.  Please note: there is a limit to how much data the onscreen report can show at once.  If the options you choose goes over that limit you will get a warning bubble indicating that certain courses were not included in the report.

On-screen version

The on-screen report acts like a pivot table and will allow you to choose the data you want to appear in the report by dragging the item into the column header or row header section. If you want to remove an option from your report, drag that item into the Header options section above the main report.

  1. Drag column headers left or right to determine the order they appear in the table as well as drag row headers up and down.
  2. If you click on the down arrow in a column header you are given the option to filter which items from that header you want to include in the report
  3. In the body of the report, the number listed represents the number of times the item from that row is associated directly with the item in that column. For example, if a particular mapping list item is attached to a session, you will see a 1 where the mapping list item and the session intersect in the table. If you see a session or course objective in the same column as the mapping element, it means there is a relationship between the two as indicated in the course or session which has the 1 in that column.

  4. Start typing to filter your results. Click on the box next to an item to remove the item from your results, or check the box again to include it. Click OK to adjust your results.

  5. For quick access to your curriculum moments, click on the arrow at the level you wish to view and then click on the name of the portfolio, course, sub-course, or session to open it up in the curriculum explorer in a new window.

  6. Once you have created your report with the rows and columns you want, you can save that layout in order to easily organize your data that way in the future. In order to save your layout
    1. Click Save new report layout at the bottom left corner of the screen. If you do not see this option, you may have collapsed the menu. In order to open it again click on the arrow pointing up.
    2. Name your layout

    3. One you have saved your layout name, you can open up that layout by clicking on the dropdown menu, and choosing the layout name.  This will open the data you have chosen with the same column and row headers in your saved layout.  This will not bring up the information in the original report such as academic year, mapping lists or part of the curriculum.  It will also not save any filters you have applied to the column/row headers such as specific mapping items or curriculum moments.

Excel export version

The excel version of the report includes a "flattened" version of the data in your curriculum. For each curriculum moment the report will find the attached objectives and will create a row for each objective. Each mapping list item will have its own row. If there are no objectives, the objectives rows will be empty but each mapping list item will be listed. There will also be a row for weightings and for each weighting a new row will be created.

Please note:  The Curriculum Relationship report does not show the relationship between course objectives and session objectives

Curriculum Search

Note: The Curriculum Search function is not housed in the same location as the other schedule reports. 

To Perform a Curriculum Search:

  1. Click on the Schedules tab. Click the Management Tool link from the left-menu bar.

  2. At the bottom of the list of portfolios, search the curriculum for keywords via the curriculum search field.

  3. When the search term is used at any point in the curriculum, the results will display.

To Perform a Curriculum Search - Advanced Search:

  1. You can conduct sub-searches and also create filters (via the advanced search options) to extract more specific data related to your keyword.  The advanced search options in the left-menu bar allow you to use filters to scale down your search, in order to further narrow down the search results. With the Advanced Search option, you can also export the search results into excel.

  2. In the image below, two additional filters have been added: one for the academic year, and one with the objective cell.  The system searched your curriculum schedule with these additional filters  By clicking the link to the course related to your keywords, you can view the details about that course.
  3. To add fields to your report (ex. the course objectives, mappings, facilitators, duration, etc...), select the particular field under Fields.
