Acuity One45 - Logs Reports and Exports

This document provides an overview for administrative oversight on logs.

There are several methods to gather data based on logs within Acuity One45: Log Reports and Log Exports.
The Log Report will provide tabular results within the system of log data.
The Log Export will pull data from the logs into an excel format. 
The Competency Expectation Grid Report will display the tracking of student's competency completion. 

In order to complete a log report or export, take care to use the correct Acuity One45 environment.

Log Reports

The Patient/Procedure Log reports section will pull the history of all student/resident procedures that have been tracked. The information will be displayed in alphabetical order, showing overall totals of each procedure tracked as well as overall totals of all logs tracked by each individual.

To generate Log Reports, follow these steps:

  1. Navigate to Reports on the top menu, then Log Reports on the left blue menu.

  2. The following screen will appear. In the headers, check Log Reports is selected (when selected it appears bold).

  3. Select which log to create a report for:

  4. If the log has multiple competency list questions configured, use the drop down menu to select the appropriate competency item list.

  5. Select to report on either all competency items within the log, or specific items. When the specific items radio button is selected, a menu of the competency items will appear.
    To select multiple items on the list, hold the ctrl key and click on the desired competency items.

  6. Select date parameters for the report.

    1. Learners Scheduled this year so far: Includes encounters logged by learners that are scheduled any time in the current academic year selected.

    2. Learners Scheduled last year: Includes encounters logged by learners scheduled any time in the previous academic year. This is verified by checking the start date of the first block and the end date of the last block. 

    3. Encounters logged between specific dates: Includes encounters logged by learners within the indicated date range. When selected a start date and an end date field will appear.

  7. Select the parameters for the report:

    1. Display column for total procedures: Includes a column at the end of the table with the total number of completed competencies per students of the selected competencies.

    2. Display overall average: Includes the average completion rate of each competency selected.

    3. Don't Display student with all zeros: Takes out any student who has zero of the selected competencies completed. If a student completed a competency that was selected, but did not complete a secondary competency, the student will still appear on the report.

    4. Display Student ID's: Includes students' 9-digit student ID

  8. Once all parameters have been selected, click Generate Report. A new browser tab will open with the report.

Log Exports

The Patient/Procedure Log reports section will pull the history of all student/resident procedures that have been tracked. The information will be exported into an excel file. 

To generate Log Exports, follow these steps:

  1. Navigate to Reports on the top menu, then Log Exports on the left blue menu.

  2. The follow screen will appear.

  3. Select the appropriate log to export.

  4. If the log has multiple competency list questions configured, use the drop down menu to select the appropriate competency item list.

  5. Use the check boxes within the competency list to select specific items to report on. If all competency items should be included click check all under the competency list.

  6. Select the questions to add to the export. If all questions should be included, click check all under the question to include box.

  7. Select the date range of completed experiences to include in the export.

  8. Additional data fields may be added to the export.

    1. Include student number: Includes the 9-digit student ID number

    2. Include People Types: Includes information about additional program identifiers (e.g. WARMM, MSTP, etc.)

    3. Show Results from this log across all groups: Includes data students' complete of this log within different environments within Acuity One45. 

  9. Click export and the excel file will download.

Competency/Expectation Grid Reports

The Competency/Expectation grid is the measurement of requirements for specific log types (e.g. FACET sheets). This report will provide a 'by student" and tabular report of completed and incomplete competencies. 

  1. Navigate to the correct Acuity One45 environment (see the grid above). 
  2. Click on Reports in the header menu. 
  3. Click on Log Reports on the left blue menu. 
  4. This will display the Competency/Expectation Grid screen. The default landing tab is Log Reports. Click on Competency/Expectation Grid Overview. Screen Capture

  5. From this screen, there will be four report options: Summary by student (onscreen or excel), and Student batch report (onscreen or excel)

Summary by student

  1. Click on Summary by student (onscreen) or Summary by student (excel).
  2. A window will pop up to select parameters for the report.

  3. Select the options desired for the report, then click Generate Report. 
  4. The onscreen report will generate a new tab, and the excel report will download an excel file. 
  5. Both reports will have two tabs labeled Overall Summary, and [Parent Course] FACET (e.g. CPC FACET). 
  6. The Overall Summary will show the number of completed or incomplete competency as compared to the overall requirements in the log. 

    On the Procedure Log Grid tab, the Total column shows whether a student has achieved all of their competencies. If the student has one or more requirements that have not been met, an X appears in the Total column. If all requirements have been met, a checkmark appears in the column.

    In each competency column, the number required and number achieved are displayed in the following format (number achieved/number required). If the student has met the requirements for the column (competency), the column will have a check mark. If the competency has not been met, there will be an X. In an Excel export, the check mark is replaced by "yes" and the X is replaced by "no."

    Please note: Only procedures/encounters that were logged during the student's time in the program will be counted towards totals. (i.e. the date on their procedure/encounter must be within the rotation dates on your schedule)

    Student Batch Report

    A competency batch report creates an expectation grid summary report for all of the students matching the criteria. 

    1. Click on Student batch report (onscreen or excel)
    2. A pop-up window will appear to select parameters for the report.

    3. Select the options desired for the report, then click Generate Report. (This report may take a few moments to load)
    4. In the generated report, results are separated by student and each tab represents a list of requirements.
