SJMC Calendars

This document contains information on viewing and scheduling rooms using Office 365.

All faculty and staff have access to School of Journalism calendars. This includes all room calendars and our SJMC Meetings and SJMC Events calendars.

Scheduling rooms in Vilas Hall

All meeting/class/lab rooms controlled by the SJMC are set up in Office 365. Faculty and staff are able to schedule the rooms by inviting them to meetings. These directions use the Outlook website as an example, but the process is nearly identical in the Outlook application, and very similar in Apple Calendar.

To reserve a room create a new meeting in Outlook and invite the room you want. You can add the room in the invite attendees section (highlighted in green in the image below), or in the location field (highlighted in red in the image below). Outlook will not allow you to schedule a room if it is already scheduled and will help you find an open time.

The following rooms are available to schedule.

Note the similar naming convention. Start typing one of these room names in the attendee/location field and the room should auto complete in the list.

Add the calendars to your UW account using the directions below.

Microsoft Outlook (only supported method)

The easiest, and only officially supported solution for calendars is to use Microsoft Outlook. With Outlook this all “just works.” The easiest way to add the Meetings and Events calendar is to log in to your email via the web, https://email.wisc.edu, then add the two calendars. The calendar names are “SJMC Events” and “SJMC Meetings.”

  1. Go to your Calendar.

  2. Click Add Calendar on the left hand side.

  3. Click "Add from directory" on the left hand side, and enter the calendar names (or email address) in Enter a name or email address box. After you've entered the name, select Add to search for and add the calendar.

  4. Repeat steps 1-3 for each calendar.

The Outlook application mirrors what is in your web-based version so the calendars should appear on all your devices now, whether you are using the web or one of the applications.

Apple Calendar

The Apple Calendar application on your iPhone and iPad mirrors the same as Outlook. Follow the directions for Outlook and the calendars will appear in the Calendar application on your iPhone and iPad.

For Calendar on your Mac the process is far more complicated. Open the Calendar application and select File -> New Calendar Subscription… Copy and paste the two URLs, one at a time, below to subscribe to the calendars. You must copy the text of the URL, not click it to download.
