DoIT Shared Tools - Attachments to JIRA issues and in the Confluence space
DoIT Shared Tools strongly recommends not using neither Jira project nor Confluence space as document storage. Should we have problems with Jira, those attachments may not be recoverable. Please follow these recommendations instead.
Attachment Best Practices
The DoIT Shared Tools Team strongly encourages users to, instead, link to files in a separate platform like (Box, Google Drive, GitLab depending on the file types). This practice will:
- Reduces risk and types of data being stored in Jira
- Supports a separate file management and sharing system
- Makes access reviews easier
- Enables a collaborative space dedicated to files
- Simplifies the data retention needs
- Separates concerns for project management vs. project execution
Process of Exporting Attachments
To export Confluence pages to HTML or PDF:
- Go to the space and choose Space tools > Content Tools from the bottom of the sidebar.
- Choose Export.
- Select either HTML or PDF, then choose Next.
- Select either a normal or custom export. The normal is a full export and the custom allows you to select which pages.
- Choose Export.
- When complete you’ll be given a download link.
To export Confluence pages to XML:
- Go to the space and choose Space tools > Content Tools from the bottom of the sidebar.
- Choose Backup.
- Set file name prefix as desired.
- Select Back Up button to export to XML.
- When complete you may click on xml.zip file link to download.
