Overview of Graduate Programs roles and responsibilities.

Program Direction Team

Each program has a Program Direction team which is comprised of the following roles: Academic Directors, Program Administration, and Student Services.

In some programs the same individual will handle the responsibilities of both the Academic Director and Program Administration roles. In other programs, these two roles may be split between two individuals. The table below shows a breakdown of the team per program.

Academic Director

The table below provides an overview of Academic Director responsibilities.

Responsibility Description
Course Scheduling Validate course offerings, planning out approximately two years, ensuring ability of students to complete program in a timely fashion.
Faculty Lead Recruit instructors as needed. Be a resource for existing instructors regarding curricular concerns.
Admissions Admissions decision maker and review of new students' admission packets as needed.
Program Governance Participate in the academic portion of self studies, enter new courses to Lumen for program as needed, review course surveys, ensure course quality, etc.
Cross-campus collaboration Represent the program across campus as appropriate.
Escalation Path Escalation path for academic issues.
SME for Recruitment Speak with inquirers that need more SME details to commit to program.
SME for Marketing Be available as an SME to advise in marketing.

Program Administration

The table below provides an overview of Program Administration responsibilities. 

Responsibility Description
Student Recruitment Responsible for planning and directing student recruitment events; leverage SMEs, marketing, and GA as needed to implement.
Marketing Plans Responsible for determining marketing budget, approving/guiding marketing plans, and interfacing with  marketing specialist for implementation.
Program Governance Project manage governance activities such as program reviews, pulling in Academic Direction, GA, and others as needed for relevant portions.
Instructor Hires Complete administration tasks necessary to ensure instructors are hired, such as interfacing with HR and finance. Send instructor confirmation emails each semester. Leverage the Academic Director on instructor selection as needed.
Transfer File Complete administration tasks necessary to ensure financial transfers between departments are timely and correct.
Budget Update budget once per year and complete review of past years' budget to actuals.
Financial Accountability Review program expenses on a monthly basis to identify any issues and address as needed.
Online Degree Collaboration Collaborate with InterPro online degree team to represent the program in the overall portfolio.

Graduate Advisor (Student Services)

The table below provides an overview of Graduate Advisor (Student Services) responsibilities.

Responsibility Description
Inquirer Follow-up Follow up with inquirers through email, phone calls and meeting as appropriate, and recommend inquirers to meet with the academic director when additional subject matter knowledge is needed to address their questions and move them on to apply.
Admissions Lead Create admissions packet for admissions committee to review and administer the admissions process. Report regularly on admissions status.
Onboarding Ensure students are appropriately onboarded to their new student role and address any issues as needed to ensure student success in navigating the UW system.
Advising/First point of contact Monitor students progress and raise flags when appropriate. Advise students and be the first point of contact for them in guiding them through the program; this includes regular communications, i.e., email, community, etc., Meet with students to create a plan of study when they first start the program or ensure that the program director does so.
Data collection/reporting As needed, provide data to administrative owners as requested. Owner of program specific dashboards.
Graduate school liaison Manage the warrants process. Update Guide. Liaise with graduate school.
Events (Graduation, Residency) Participate in student facing events and ensure the students have a positive and fulfilling experience. Assist with the logistics of these events as needed.
Curricular representative Communicate with academic director to coordinate courses that will be offered each semester and build the courses in SIS (in some cases, the academic home may build the course, but this role is responsible for following up to ensure it is completed).
