Tips for Setup

  • 15 minutes for success: Login to ShopUW while you watch the training to follow along and setup your own account/make your first purchase.
    • Setting up your account now will speed up the process when you do need to buy something in the future

  • Setting up default Funding String / Accounting Codes (note you are only required to enter the bolded items below as your default. Requesters fill in the full funding info):

When assigning a cart to a requester, add comments:
  • Project or funding string associated with the order
  • Business Purpose or summary of:
    • What was purchased (in a general sense, for example, "supplies")
    • Why it was purchased (for example, "to create study take home binders")
    • How it is essential to the University (for example, "for human subject participants in NIH funded study)

Shipping Addresses:

    • Home addresses (ad hoc), can only be entered during the check out process when purchasing an item
      • Once added (after a purchase), will be saved in your “addresses” for future use.
      • See Pg 70-71 of the ShopUW Quick Reference Guide for setting up ad hoc (home) addresses.
      • Item(s) must be shipped to a university address unless a documented, reasonable justification is provided with the vendor receipt (e.g., “I shipped these materials directly to the conference site, so I did not have to transport them with me on the airplane”). A justification is also required when shipping merchandise to an employee’s remote work location

Tips for Shopping - Generating Orders

  • Use Flowchart (pg 31 of the ShopUW Quick Reference Guide) to choose most appropriate process.
  • Use a helpful cart name when creating a cart. Include who it's for, what it is... that makes it easier to find later and search for.
  • On the funding string search screen, you can "favorite" funding strings to have a set of them you use frequently, using the little heart in the bottom right
  • Add Comments before Assigning Cart:
    • Project or funding string associated with the order
    • Business Purpose or summary of:
      • What was purchased (in a general sense, for example, "supplies")
      • Why it was purchased (for example, "to create study take home binders")
      • How it is essential to the University (for example, "for human subject participants in NIH funded study)
  • Software/Cloud application or service/app:
    • You must check to see if DoIT can offer the software (retain documentation that they cannot as justification for your purchase)
    • If not available through DoIT, submit a Risk Review form to triage the purchasing request to determine if a full risk assessment is needed by the Office of Cybersecurity.
