L&S Graduate Program Non-Governed Guide Pages

This document focuses on how to edit non-governed content in Guide for L&S graduate programs.

Overview

Guide is edited through two systems:

  • Lumen program proposal: governed content
  • Guide editing widget: non-governed content

The information below reviews how to edit non-governed content using the Guide widget as well as defines governed verses non-governed pages. 

L&S Graduate programs: The deadline for non-governed graduate content is January 31, 2025. Please note that governed content changes are due earlier. 

What is non-governed content?

Non-governed content is text that does not need to go through formal campus governance for approval.  This content can be directly edited by units during the designated editing window each academic year.  The text is reviewed by the college and campus to ensure it aligns with non-governed content criteria.

The primary focus of the college review is that governed content page content should not appear on non-governed pages. For example, information on courses required for a degree should be on the requirements page (governed content) and not duplicated on the overview page (non-governed).

Authorization?

Any faculty/Staff can edit and submit. Only authorized faculty/staff can approve proposals at the department level. 

Only authorized editors. See this form for authorization. 

When can edits be made?

Edits can be entered any time of the year but there are strict timelines for when material is published.  Each program can only have one active program proposal at a time.

Editing is only allowed during the specific editing window, which opens November 1st for the following fall. For example, editing for Fall 2025 Guide opens November 1, 2024.

When is it published?

June 1st for Fall (Annual) Guide edits. There's also a midcycle editing process to correct egregious errors.

The People and Contact Information Box can be updated year round. When the editing window is closed, email guideeditor@office365.wisc.edu to update these sections.  

How to edit non-governed content

  • Click on "Edit page" in the left hand corner.

  • Click on "Edit" button for the section that needs edits. This will open a new editing window.

  •  Make the edits and save.
  • When all edits are entered on all pages associated with the program, click on the green "Start Workflow" button at the bottom right side.

Editing Borrowed Content

What is borrowed content? 

Some non-governed Guide pages have chunks of text that are borrowed from other non-governed Guide pages.

How do I edit this content?

For borrowed content, the editor needs to find the source of the content, edit at the source, and then it will update across all pages using it.

Where is it commonly located?

Borrowed content is most commonly used on People pages. Some programs use it on other pages as well.

Steps for identifying and locating the sources of borrowed content:

Step 1: Follow the usual steps of editing a Guide page by clicking on the edit text button.

Step 2: When the editing box opens, the content will appear with a blue box around it and the words "borrowed content" in the upper left.

Step 3: To find the source of the borrowed content, double click on the box.

Step 4:  Another window will open with the pathway to indicate the source of the borrowed content.

Step 5. Go to the source page and edit. Save and start workflow once all edits are made.
