Event Scheduling Policy and Timeline

Below are guidelines for when during the year requests for School of Music spaces may be submitted.
  • Large ensemble dress rehearsals and performances for the upcoming academic calendar year should be submitted to the Music Operations Manager by the Thanksgiving recess of the previous year.
  • Jazz ensemble performances for the upcoming academic calendar year will be scheduled by the last day of classes of the fall semester of the previous year.
  • Faculty members may begin submitting requests for space for their own recitals and those of guest artists for the upcoming academic year in the week before spring break of the previous year. Faculty members should refrain from scheduling these events in April and/or May whenever possible in order to keep venues free for student recitals. 
  • All School of Music ensemble performances (student and faculty), faculty recitals, faculty events, and guest artist performances scheduled at the Hamel Music Center on weekdays should begin at 7:30 PM. Weekend performances should be scheduled for 11:00 AM, 2:00 PM, 5:00 PM, or 7:30 PM. These events may not be scheduled during spring break, Thanksgiving recess, between semesters, or on major holidays observed by the University.
  • Students performing mandatory, degree-required recitals (i.e. those enrolled in MUS PERF 499, 990, or 999) may submit requests for space beginning one month prior to the semester in which the recital is to occur.
  • Students performing non-mandatory, elective recitals may submit requests for space beginning at the start of the semester in which the recital is to occur. These recitals may not be scheduled during exam week or the week leading up to exam week.

Exceptions to the above policy must be approved by the Music Operations Manager.
