Physician Assistant - Affiliation Agreement Audit Process

Each clinical rotation that Physician Assistant students participate in must have a current and active affiliation agreement on file between the UW School of Medicine and Public Health and the clinical site. The audit process below will be followed to ensure agreements are on file and up to date.

Annually

  • Pull list of active clinical sites from Exxat in June.
  • Verify agreement is on file in OASIS and upload agreement to Exxat if it is not already there.
  • Add expiration date if agreement is not evergreen.
  • Notify Clinical Year Team if an agreement is not on file to:
    • determine if site needs to be set as inactive OR
    • reach out to site to get agreement in place.

Each Semester

  • Meet with Clinical Year Team prior to the start of new semester (summer, fall, spring) to review upcoming rotations.
  • Verify:
    • agreement is on file,
    • will not expire during rotation, and
    • ARC-PA required language is included.
  • If agreement is not on file, reach out to clinical site to get agreement in place.
  • Reach out to Contracts Coordinator (affiliationagreements@med.wisc.edu) if:
    • agreement will expire during rotation OR
    • ARC-PA language is not included and addendum is needed.
  • Upload any new or updated agreements to Exxat.
