CHM HR - Requesting Time Off in Workday

Request Time Off as Employee

  1. From the Workday Home Page, click Menu.
  2. Click the Request Absence app.
    NOTE: The Apps and Edit buttons within the Menu can be used to add, reorder, or delete apps from the list.
  1. Click the day(s) on the calendar to select days off.
  2. Click Continue.
  3. Select the Type of Absence.
    NOTE: The Position field will default to the primary job. If you have multiple jobs, select which job the request is for.
  1. Review the absence details and adjust as needed.
     
    NOTE: The Quantity per Day will default to the number of hours scheduled to work that day. Click Edit Individuals Days to modify the number of hours per day. 
    • If you are requesting two different types of time off, view Requesting Multiple Types of Time Off to determine the best way to request this. 
    • If you have multiple jobs, select the appropriate position that this time off request should be applied to. 
      NOTE: Employees who are considered non-exempt or less than full time, will report time worked and leave in 15-minute increments.
      Employees who are considered exempt and are full time, will report leave in full day and half day increments.
  2. Click Submit Request.

Requesting Multiple Types of Time Off

  1. From the Workday Home Page, click Menu.
  2. Click the Request Absence app.
    NOTE: The Add Apps and Edit buttons within the Menu can be used to add, reorder, or delete apps from the list.
  3. Click the day(s) on the calendar to select days off.
  4. Click Continue.
  5. Select the Type of Absence.
    NOTE: The Position field will default to the primary job. If you have multiple jobs, select which job the request is for.
  6. On the Request Absence details page, click Edit Individual Days.
  7. Change the Type of Absence for each individual day. 
  8. Click Submit

      Next Steps

      By clicking Submit, the time is routed to your manager for approval. In each Approval step, the Approver will have a variety of options:

      • Approve – the process is accepted and if applicable, moves to the next business process.
      • Send Back – the process is returned to the employee with a reason for the send back and, once changes are made, it will reroute back to the same approver for approval.
      • Deny – the process is terminated. Once the process is denied, it will not continue to the next step and all Workday data is restored to the previous state prior to the request. A reason is also required for a denial of a Time Off Request.

      A notification will appear in Workday Notifications notifying of the actions the Approver has taken.
