Participants Actions Report

The L3 Participants Action Report is a powerful reporting tool designed to monitor and assist incoming registrants as they navigate the L3 process to access their online courses. It provides staff with a detailed snapshot of learner progress, helping ensure a smooth onboarding experience. For staff efficiency, the report offers Blue Action Buttons that enable bulk actions. These include exporting data to Excel, sending enrollment confirmations to Canvas, and dispatching key emails like Get Started messages and NetID activation notices—all with a simple selection.

From the home screen use the filters to select the individuals who need to set up their NetIDs

Filters

Table 1 shows a list of the filter names along with the description for each filter.

Filter Name

Instance Number Search Search by typing in the instance number
Individual Name Search Search by typing in the name of the individual
Fiscal Year Fiscal year course is delivered in. The default is current
Department Department the class is associated with in CSIS
GS Link Clicked Was the get started link clicked
NetID Activation Is the NetID activated
LMS Space Access Does the individual have access to the course's LMS space
Start Date Range Range of dates for courses that start between the dates entered

 

Columns

Table 2 shows a list of the column names along with the description for each column.

First Name Learner's first name
Last Name Learner's last name
Email Address Learner's email address that is associated with their NetID
Instance Name Name of course learner is registered or enrolled in
Instance Number CSIS number associated with the course
LMS Space Name Name of Canvas shell associated with course and learner
Reg Created Date learner populated into CSIS
Confirmation Date Sent Date when the first get started email was sent
GS Link Clicked The date and time that someone (anyone) most recently clicked this particular Get Started link. This can be useful to determine whether (and when) the Get Started email was definitely received and furthermore used. "N/A" means this particular Get Started link has never been used, so far.
PVI This is a UW-Madison internal database identifier associated with this person’s email address. May be useful in the context of communication with CSIS Support or DoIT about NetID problems for this person.
NetID Activation This will show "Yes" only during the - usually very brief - period between when a learner has requested a new NetID for themselves (which necessarily implies they successfully used their Get Started link) and the corresponding NetID activation key became available and was sent over to the learner. If this remains "Yes" for more than 24 hours then there is definitely a technical problem somewhere between CSIS and the NetID service, please contact CSIS Support. Usually it should not show "Yes" for more than 30 minutes or so.
LMS Space Access Shows if the learner still has access to the canvas shell. If no, then the access end date most likely has passed.
Fiscal Year The fiscal year the course is delivered in
Course Start Date The date the course starts
Registration Key This is the personalized or "magic" part of the link used for this particular learner's Get Started link, that is unique for this particular registration.
GS Link This is the personalized Get Started link for the particular learner. You can copy and paste this link in a personalized email to the learner.

 

Blue Action Buttons

Table 3 shows a list of the blue actions button names along with the description for each action.

Send Enrollments All Selected Will send an enrollment message to Canvas for the learners after selecting appropriate filters and clicking submit
Send Get Started Emails to All Selected Will send get started email to all learners after selecting appropriate filters and clicking submit
Send NetID Emails to All Selected Will send NetID activation email to all learners after selecting appropriate filters and clicking submit
