NetID Sync Procedure
Who Is Affected by This Procedure?
This procedure applies to College of Engineering faculty, staff, students, student employees, and affiliates whose existing CAE accounts do not match their official campus NetID. These users will be required to complete additional verification and account-linking steps to ensure their identities are correctly associated with their campus NetID prior to migration.
Procedure Detail
- Access the CAE Login Sync Page
- Navigate to https://account.my.cae.wisc.edu/account/caelogincheck using your current CAE credentials
- Review Account Status
- Upon accessing the page, one of the following messages will be displayed:
CAE account already matches NetID - If the page indicates that your CAE login already matches your campus NetID, no action is required.

CAE account does not match NetID - If your CAE login does not match your campus NetID, the page will display your current CAE login name and the new login name that will align with your campus NetID.

- Prepare for Renaming
- Before proceeding, you must ensure you are logged out of all CAE systems, including but not limited to other workstations, remote sessions, web applications, and file shares.
- The CAE login rename does not change your CAE password.
- If your CAE password is different from your campus NetID password, you must continue using your existing CAE password after the rename is complete.
- Your personal network share home directory files will be copied to a new location as part of the rename process.
- The file copy operation may take a significant amount of time, depending on the size of your personal network share home directory.
- No file creation, modification, or deletion should be performed during the renaming window, as this may result in data loss or incomplete migration.
- The CAE login rename does not change your CAE password.
- Before proceeding, you must ensure you are logged out of all CAE systems, including but not limited to other workstations, remote sessions, web applications, and file shares.
- Select Renaming Timing
- A drop-down selection is at the bottom of the page, allowing you to choose when the rename process will occur.
- You may select to perform the migration immediately or schedule it up to 24 hours later, in 1-hour increments.
- It is recommended to perform this migration at the end of the work day to limit interruptions while the migration process is being performed.

- Submit Rename Request
- After selecting the desired migration time, select “Rename CAE login.”
- A new page will load, confirming that your request has been queued, displaying a message stating:
- “CAELogin rename from [your old name] to [your new name] has been queued.”
- A highlighted notification box will also be displayed, providing:
- Current status of the rename request
- Date and time the request was submitted
- Requestor (your CAE username)
- Date and time the conversion process is scheduled to begin

- Renaming Execution and Completion Notification
- At the scheduled time, the system will perform the CAE login rename and copy your personal network share home directory files to the new location. During this process, you should remain logged out of all CAE systems.
- Upon successful completion, you will receive an email notification from helpdesk@cae.wisc.edu confirming that the migration has finished. The email will include:
- Confirmation of your completed CAE login rename
- Your previous personal network share home directory path
- Your new personal network share home directory path

- Post-Renaming Access
- After receiving the completion email, you may log back into CAE systems using your new CAE login name that matches your campus NetID and verify access to your files and services. Note: your CAE password has not changed.
Definitions
- CAE Account: A CAE Account is a College of Engineering–managed user account used to authenticate and provide access for users to College of Engineering computing resources, systems, and services. This account is distinct from a campus NetID and may have a different username and password.
- NetID: A NetID is the centrally managed campus user account issued by the Department of IT (DoIT). It is used to authenticate and provide access for users to university-wide systems and services, including email, administrative systems, and other centrally managed resources.
- Personal Network Share Home Directory: A Personal Network Share Home Directory is a centrally managed network storage location assigned to an individual user for storing personal files and data associated with their CAE account. It is hosted on College of Engineering file servers and is accessible from CAE-managed systems.
