Final step to creating an IF is approvals under the "Actions" tab on the bottom left. If a program is in draft mode, this section of functions looks like this:
Once the "Submit Draft for Administrative Approval & Marketing Review" link is selected, two drop down boxes appear and the screen looks like this:
Initially the drop-down in the Administrative Status section contains the following choices:
Requesting approval - this choice is selected by a program associate once the IF is ready to be reviewed and processed to be open to the public. Selecting this choice alerts an administrator that a program is ready for review.
Mark as "Approved" - link that an administrator uses to approve a program.
Request a rework - selection made by an Administrator if a program has errors or is not approved for other reasons.
Once a program has been approved, additional options appear:
Cancel a program - only an administrator can "cancel" a program.
Request program cancellation - this is the selection a program associate or program director should use to request that a program be cancelled.
Request a rework - on a rare occasion, a rework might be requested if an adjustment needs to be made to a fee or other information. If this is selected the menu of choices reverts to the first group.
Initially the drop-down in the Marketing Status section contains the following choices:
Marketing Review Not Applicable - occasionally it would be appropriate to choose this option in cases where a particular program is not a public program and won't be marketed by traditional methods or at all.
Mark as "Approved" - indicates that "Marketing" has reviewed the content of the program for grammer, punctuation and style guidelines.
Request Marketing Review - selection used by Program Associates and Program Directors to request that Marketing review the program and move it forward.
Request Rework - Marketing approver may select this option and communicate with the program associate or program director that significant changes are necessary. In most cases simple edits are handled directly by Marketing.
Once the program has been approved in both areas it can move forward for online content and to Extension Registration Services for registration setup. Currently Extension Registration Services receives the document via a PDF. A PDF is created by choosing the last selection in the left column:
