Publications Tab - Download copy to proof
Often when there are multiple partners in a lengthy catalog, it is useful for each partner to download certain segments of a catalog for review and proofing before the publication goes into the layout phase of the process. This function is often needed by users who are NOT administrators of a publication. Steps for this process follow.
Click on the Publications Tab on the CSIS main screen.
Find the publication for which copy needs to be downloaded and click on the name.
If you don't see the publication in the list, change the name filter at the top left to: "Catalog Administrator." A list of all publications will be displayed. You can click on the "Catalog Name" heading to sort the list alphabetically.
The catalog will open. Under "General Info," click on "Selected Programs." A list of all programs that are included in this publication will be listed. Change the filters across the top to display only the programs that you wish to review.
This is a quick way to check that all programs you are responsible for and expect to be included, are there.
Next to download copy, under "Exporting," click on "Export Programs." The filter settings you selected earlier remain but can be changed.
Select the text with your mouse, right click and copy the text and paste it in a word document. Now you can print the document and review it for accuracy.
To make corrections, go back to the "Selected Programs" tab. Click on the program name that you wish to edit and the IF will open. From here you can make edits to Title, Description, Dates and Pricing.
If a program is missing, you can search for it in the "Selected Programs" tab by using the Actions box at the top right. Search by title and narrow your search with other available selections such as fiscal year, specialty, start and end date, program director and program associate. When you locate the program, check the box next to it and it will be added to the catalog.
Note: You will only be able to add programs if it is before the cutoff date entered by the catalog administrator. You can see what that date is by clicking on the "Preferences" tab.
If the program you add doesn't appear in the copy download, go to the "Program Sequencing" tab and click on the "Reset Program Sequencing" button at the top right and try exporting the copy again.
