Minimum and standardized LMS style guide for EPD courses in Canvas

The document provides minimum and "standardized" notes and settings for the common tools in EPD Canvas LMS course sites.

Particular course/instructor needs will certainly override these settings, but this documentation provides a common level of setting for tools as a baseline. Canvas Guides provides lots of excellent Canvas documentation for instructors and students.

Typically, we customize the navigation for both Credit and Professional Development (non-credit) courses.

The preferred order and list of visible tools for credit course navigation are:

  • Home
  • Announcements
  • Modules
  • Discussions
  • Assignments
  • Grades
  • People
  • Bb Collaborate Ultra or Zoom*

Professional development courses should typically follow the same general navigation order, but the options turned on for student view may differ based on course type and delivery.  Most often, Assignments, Grades, and People are removed from the course navigation. Please see Katie with additional questions about specific courses.

Credit and professional development courses have different course settings.

The following Canvas course settings are a good minimum for credit courses. Make sure to check the following course settings:

  • The term (both in course settings and within the section! The section dates should now just be blank.)
  • Verify Start and End Date
    • Start Date and Time = Enter day course site will actually open (usually the Thursday before semester), and 7am for the time.
    • End Date and Time = 1 months past the semester end date (for certain programs MEM/MEES/SSE/MEDA/MSE/FPD), this will allow participation for 1-month, then will move into view-only mode. The time should be set to 7am. 
  • The timezone = Central Time
  • Enable the course grading scheme and create/use a scale that matches the course syllabus. If it matches the default UW, then no need to do this.
  • Set Format to “Online.”
  • This Canvas Course Guide page provides some additional context for these options.

Professional development course settings vary depending on the course category.

 Make sure to check the following course settings:

  • Start Date = Enter day course site will open to students (typically 1-week before the first live session)
  • End Date
    • For courses with a fixed end date, set the end date to 1 week past the course end date. This will allow participation for 1 additional week, then will move into view-only mode. 
    • For asynchronous courses, leave the end date blank
    • Check the "Restrict students from viewing course after course end date" override to prevent students from viewing the course after the end date if requested.
  • Enable the course grading scheme and create/use a scale that matches the course syllabus. 
  • Set Format to “Online.”

Both credit and professional development courses use a custom EPD Course Homepage. We use a EPD Canvas Homepage Link builder to customize each homepage based on course delivery. Courses that are primarily used to deliver course materials or exams have a separately customized course homepage. Ask Mark for more details. 

The process for setting up EPD Course Homepages are the same for both credit and professional development courses. 

 

Professional development courses have two orientation videos to help learners use the Canvas LMS and Blackboard Conference tool. 

To embed the video page into the course, follow the directions in [Link for document 87387 is unavailable at this time.] to create a new page under the General Course Information module and open up the HTML view.

If the course includes both Canvas and Blackboard, use the title: Introduction to Canvas and the BbCollaborate Ultra Live Web Conference Tool

The default Announcement settings are fine for credit courses.

It's important to remind professional development instructors to use the Announcement tool when communicating course wide changes to online learners because it will notify learners by email. The Discussion Forums require learners to subscribe to notifications in order to receive email notifications.

Note: If a course is not Published when the Announcement is posted, an email will not go out. You can create and queue Announcements and set them to be posted a certain day and time, when you know the course will be Published, so that students for sure get the email.

The Modules tool is the primary tool for the organization of all course content. Materials are either linked or embedded in the course site and organized by unit or week.


  • EPD courses primarily embed individual core course materials (syllabus, lessons, assignment instructions, etc...) if they are word or PDF documents.
  • Box folders, websites, or applications used in coursework are typically linked to the host in the course site. 
  • Videos are linked if they are hosted in gDrive, and embedded if they are hosted in Box.


Materials that are set to published have green checkmarks. Set all materials to published unless otherwise noted by the lead instructional designer or the course instructor.

Typically we will use the “External URL” option for linking to files in systems such as Box, Google Drive, etc.. The important option here is to usually select “Load in a new tab” so it won’t load embedded into Canvas. If “Load in a new tab” is not selected, the link will not be blue.

Professional development courses use the following organizational hierarchy and naming conventions.

Items like discussion forums that apply to the entire module should appear at the top of each module. Other items, like videos or slides, should be indented and arranged in order.  Name: [Module#] [Item Name] [File Type]. Example: 05 - Viewing Output with Mapper - Presentation Slides (PDF). 

Typically we recommend the following discussion forums at a minimum.

  • Main Discussion Forum
  • Discussion Forum for each Week/Module/Lesson as needed
  • Discussions can now also be created as “graded” for a particular assignment to be used with SpeedGrader!
By default we want to create Discussion Topics that allow threaded replies, and allow liking. Students had been asking for the ability to “like” posts! Remember to publish the discussion topics, or students won’t see them. More on Canvas Discussions from the Canvas Guide.

By default we want to control which Discussion Topics are created, but then allow students to edit/delete, and attach files.

By default Discussion Topics are only ordered by recent activity. Currently the only way to explicitly control the order of Discussions is by moving them to the “pinned area.”

Pin Discussions

Blackboard Ultra is the default web conference tool used in EPD online courses. Typically, one main web conference is created for each online course.

 Note: To edit settings in Blackboard Ultra, you must first be added to the course in a course-level role (eg. staff). You cannot create conferences as a sub-account admin.


  1. In Ultra Conference, a default “Course Room” will have been already created. This room should be locked as we do not use this conference in our courses. Under the settings tab , select “Lock course room.”

  2. Next, you’ll create a new session. The naming convention for web conferences is “EPD[course number] Main Web Conference.”
  3. In the drop down menu for Guest role, select “Participant.” This will allow Moderators to decide whether participants are allowed to upload, share, and edit content in the conference. Note: The Guest role does depend on preference of the course instructor, but “Participant” is our default.
  4. Note: professional development courses also typically use the same settings, but this depends on the course and instructor.

  5. Under Event Details, set the “Start” date to the current date, and the “End” date to two months after the course end date.
  6. In addition, under the Session Settings menu,
    1. Change the Default Attendee Role to “Participant”,
    2. Check the “Allow recording downloads”, and 3) select to “Anonymize chat messages” in recordings.
    3. Note that the Attendee role does depend on preference of the course instructor, but use the following defaults as a general rule:
      • For a Credit course, the default Attendee role should be "Participant"
      • For a Non-Credit course, the default role should be "Participant"

  1. Finally, click save and click on the new conference to ensure that it functions properly.
***NOTE: For courses that have MeetNow Rooms for ad hoc, student-led meetings, set the default Attendee Role to “Moderator,” so that student have full permissions

This is an example of typical assignment settings for a basic online file submission.

Sometimes, instructors may want to exclude assignments from the gradebook. This assignment is a group assignment that the instructor wants to exclude from the gradebook. For similar group assignments, follow these settings:

Student Media Assignments

If a student media assignment is desired (video or audio submission), here are important information and settings that should be followed:

  • Do not use the “Media Upload” submission type. Make sure to use “Text Entry.” This is so that the video or audio will be stored in the students Kaltura MyMediaSpace, and not the Canvas site.
  • Support documentation for helping students create and submit video assignments. This can be pasted into a course site to provide additional support and instructions to students.

Credit Courses: Make sure to add the appropriate Grading Scale in Canvas Settings so that it matches the Course Syllabus. 

Professional Development Courses: Some courses have a graded component, while others utilize the grade book to release certificates.

  • For courses with a graded component and no certificate release conditions, the course can utilize the gradebook.
  • For courses that utilize the gradebook for certificate release conditions see [Link for document 83701 is unavailable at this time.] for an example.
