Advising Intern Daily Tasks
What to do as the Advising Intern in College Library (updated November 2019 by Mackenzie Otterson)
Everyday Tasks
-Set out the SOAR Programming Sandwich Board if it is not already out
-Power on the intern phone kept in the cabinets with Consultant Tickets and other supplies
-Walk through all spaces and make sure configuration is ready for SOAR, kick out non-SOAR student in the library
Turn off any carpet cleaning fans and move caution signs and place by utility closets
-Make rounds throughout the day to see what you can do to help each advising group
If the Office of Undergraduate Advising (OUA) SOAR Coordinator is present and doing rounds, this is not something you need to do.
-EAT LUNCH! DRINK WATER!
-Bring in the Sandwich Board and set it behind the desk at the end of the day
-Do rounds and move signs that say spaces are closed
-Go Home!
Transfer Day / January SOAR
-Day Before: Load and Print Transfer Credit Evaluations from SIS
-Change the Open Study Signs to SOAR signs
-Sort and Distribute Transfer Credit Evals based on Claiming Unit
Reservation System - Advisee Reporting - College Advising Roster
Wait for students to be claimed before sorting
-Look up Military Affiliations and CeO information (see the Consultant Schedule info for instructions) and deliver info of who should see those consultants to the Units with their Credit Evals
-Contact Registrar Consultant at 11:30 AM about "No Shows" who need to have their enrollment time pulled
-Locate Placement Test Scores, Evaluate Transfer Credits, and Contact Admissions as need be
-Send out SOAR Program Student and Guest Evaluations (see the Intern Binder)
-Communicate with Transfer or Programming Intern about number of students remaining in advising
-Check in with Advisors to see if Consultants are still needed and if none are still needed, send them home for the day
-If the Registrar is needed after they have left contact (608) 263-0272
-Change the SOAR signs back to Open Study signs
FYR Day 1 SOAR
-Check the T&E Suspense File for missing placement test scores (there is a KB on this in OSTFE Internal)
contact Julie in Testing if need be for support in Posting them (608) 262-0672
-Compile a list of Missing Placement Test Scores that advisors will bring to you. include:
Name of Student, Student ID, Date of Birth, Test Date, Test Location
Email this list to frontdesk@exams.wisc.edu by 3:30 PM
-Do Everyday Tasks
-Do a head count to keep the Programming Intern and NSLs updated on the number of students remaining
-Send the Split Lead OA back to Union South with one of the later groups of students to support the Ops Intern until their shift is finished
-Formulate the Consultant Schedule (there is an internal KB on this)
FYR Day 2 SOAR
-Set up the Consultant Signs at the tables so they are ready when the Consultants get there
-Change the Open Study signs to SOAR signs
-Print out, or have the OAs print out, the Consultant "Golden Tickets" and check in with them to make sure they are ready
-Tell Registrar Consultants which "No Show students' enrollment times to pull at 9:00 AM
Reservation System - Advisee Reporting - Initial Batch Assignment
-Do Everyday Tasks
-Send OAs to Union South, then Res Hall, then the second Union South student as you see fit
Res Hall OA needs to be there before 10:45, second US needs to be there before 11:00
-Do a head count to keep the Programming Intern and NSLs updated on the number of students remaining
-Check in with Advisors to see if Consultants are still needed and if none are still needed, send them home for the day
-Change the SOAR signs back to Open Study signs

Note: To see all students for a session at once and their respective reservation and claiming units:
Reservation System - Advisee Reporting - Assign Student to College (just don't make any changes unless an advisor asks you to, like if a student was accidentally claimed by the wrong unit and needs to be moved.
