Performance Management Queries in HRS

Overview

PeopleSoft Query (PS Query) is a reporting and analysis tool. Public queries have been created for an intended audience of HRS Performance Management (ePerformance) users with the HR Admin security role UW_UNV_HR_EPERF_ADMIN.

Instructions for Running the Document Status Query

The Document Status query lists employee job data and the status of each step in the employee's evaluation process.

1.  Navigate to Reporting Tools > Query > Query Viewer

2.  Search for Query Name:  UW_HR_EPERF_DOCUMENT_STATUS

3.  Choose the output method, HTML, Excel or XML

4.  Enter your search criteria

  • Document Type (Optional): the specific evaluation classification for your institution (e.g. Annual)
  • Period Begin Date (Optional): the start of a specific performance cycle
  • Period End Date (Optional): the conclusion of a specific performance cycle
  • Manager (Optional): an Empl ID of a specific manager
  • Department ID like (Optional): a specific Organizational Department; wildcard (%) use is acceptable

5.  After entering your search criteria, select View Results

Note: If specific search criteria is not used, there is potential of receiving the error message below.  To resolve, narrow your search criteria.

6.  Review results; please note the following:
  • All documents that exist will display in the search results, depending on the search criteria used
  • Fields that are displayed include job attributes (not all are shown in screen shot below), due dates and completion statuses for each step of the evaluation
  • Job attributes displayed are for the employee's current appointment; the employee may have been in a different position, etc. during the evaluation period
  • Checkpoint Completed and Finalize Criteria Completed will remain blank if the template did not contain those steps
  • The Self Evaluation columns will remain blank until the Self Evaluation has been started or if the template did not contain a Self Evaluation (rare)
  • The Manager Evaluation columns will remain blank until the Manager Evaluation has been started
  • If the Employee Acknowledge Type is Open, that means the document had been acknowledged and completed at one time but has since been reopened

7.  Select the Empl ID hyperlink to access Job Data for the Empl ID/Empl Rcd combination

8.  Select the Position Number to access the Position assigned to the employee


Instructions for Running the Overall Rating Query

The Overall Rating query lists employee job data and the status of each Manager action in the employee evaluation process.  Only evaluations that include the PeopleSoft SUMMARY (Overall Summary) section are displayed.  UWSA 2019 pilot documents will not display as SUMMARY was not being utilized.

1.  Navigate to Reporting Tools > Query > Query Viewer

2.  Search for Query Name:  UW_HR_EPERF_OVERALL_RATING

3.  Choose the output method, HTML, Excel or XML

4.  Enter your search criteria
  • Document type (Optional): the specific evaluation classification for your institution (e.g. Annual)
  • Period Begin Date (Optional): the start of a specific performance cycle
  • Period End Date (Optional): the conclusion of a specific performance cycle
  • Manager (Optional): an Empl ID of a specific manager
  • Department ID like (Optional): a specific Organizational Department; wildcard (%) use is acceptable

  • Fields that are displayed include job attributes (not all are shown in screen shot below), completion statuses and due dates for the Manager Evaluation, and the Overall Summary Rating
  • Job attributes displayed are for the employee's current appointment; the employee may have been in a different position, etc. during the evaluation period
  • The Manager Evaluation columns will remain blank until the Manager Evaluation has been completed
  • If the Employee Acknowledge Type is Open, that means the document had been acknowledged and completed at one time but has since been reopened
  • The Rating Model displays the Rating Model being utilized for the Overall Summary Rating
  • The Overall Summary Rating will remain blank until the manager has completed the Manager Evaluation
