Accounts

This document provides an overview of the Account object in Salesforce.

Accounts house information about the schools, Community-Based Organizations (CBOs), and other organizations we work with. Our account types include:

Account Types Defined
Account Type Descriptor
Educational Institution Accounts that hold our schools. Every applicant, and many prospects, are affiliated with at least one educational institution account
Organization Accounts that hold information about Community-Based Organizations (CBOs) and other non- and for-profit organizations that we come into contact with through our work
Association Accounts that include school district information as well professional associations like NACAC. 


Let’s go over some of the information you can find within an account record. Since we work most with Educational Institutions, we’ll use a school as an example. This image displays four primary pieces of information within an Educational Institution account.

At the top of the record (1) we see summary information, including the Account Name and the Account Record Type. There are always two tabs (2) in every record. The Detail tab is shown above. You will see that every account has an owner, which is a required field in Salesforce. However, because we don’t use it in our daily work you are welcome to ignore it (the owner is the person who originally created the account). The Address section (3) is one of the most relevant portions of the Details tab. Because many schools have similar names, it is important to verify that you have the correct school through their address. There is also a clickable Google map widget; clicking on the map it will open a new tab. The CEEB/ATP Code (4) is another way to ensure you have the correct account. Each educational institution has a unique CEEB/ATP code that we also use in SIS and other OAR platforms. 

Account records also include a Type field. Educational Institution accounts have Secondary and Post-Secondary types. Organization accounts have Counseling Association, Multi-School or District, and Regional types. Association accounts do not use the type field.

The Related tab contains all the records in Salesforce that are associated with this educational institution. You are likely to use two of these areas the most:

  • The Campaigns section will show all recruitment campaigns associated with this school (be sure to click view all for the complete list)
  • The Affiliated Contacts area will give you every contact (person) in Salesforce that has been associated with this school. Affiliated contacts with the Advisor Role will be your school counselors and other employees of the school.

Note: While you may notice the ability to enter a new account, we ask that you do not. All requests for new accounts should be routed to our Salesforce Administrator [Nathan Trick] so that we can ensure the correct account type is created. Likewise, changes to account information including address and CEEB code are periodically imported from SIS. If you have an update to a school’s information please Chatter our Salesforce Administrator [Nathan Trick] from the account record and they can make an update and flag others on the tech team for an update in SIS.
