Adding Printers that Require A Copier Code

Some copiers in our environment require a "copy code" to use them for printing, etc. in order to control access. This code is entered after adding the printer to the user's PC. Generally, the user should know the code. This KCS article is broken up by printer manufacturer and further broken up by OS (Windows or Mac). All Customers

Initial Steps

  1. Add the printer to the user's PC per one of the following KCS articles:

Sharp

 

Windows

  1. Once mapped, open the Printing preferences page for that printer.
  2. Click the Job Handling tab. Check User Number and enter the department code that is assigned to the user.

  1. Click OK on the open printer windows.
  2. Print a test page as normal.

Mac

Note: Macs have a known issue where Sharp printers that have a department code only work with third-party applications such as Chrome, Firefox, MS Office, etc. First-party applications such as Safari, TextEdit, Pages, etc. will not work.

  1. Once mapped. Open a third-party application that supports printing.
  2. Go to File -> Print

  1. Make sure the correct printer is selected and open the dropdown in the middle of the window.
    1. Note: If you are getting a compacted view as opposed to the screenshot, click Show Details at the bottom of the window.

  1. In the dropdown list, select Job Handling.

  1. Select the Authentication tab and the User Number field. Enter the department code that is assigned to the user and click the lock icon.

  1. Once the copier code has been entered, click on Presets, and choose Save Current Settings as Preset...

  1. Enter a name for the preset and click OK.
  2. Next time the user goes to print a document to this copier, make sure they select the preset that we just created before printing.
  3. Print a test page as normal.

 

Ricoh

 

Windows

  1. Once mapped, open the Printing preferences page for that printer.
  2. Add departmental printing code as shown:

Mac

  1. Once mapped, open Microsoft Word to a new or existing document.
  2. In Word, go to File -> Print.

  1. Make sure the right copier is selected, and then click on Copies & Pages.

  1. Select Job Log.

  1.  Check the Enable User Code check box and enter the copier code in the User Code: field.

  1. Once the copier code has been entered, click on Presets, and choose Save Current Settings as Preset...

  1. Enter a name for the preset and click OK.
  2. Next time the user goes to print a document to this copier, make sure they select the preset that we just created before printing.
  3. Print a test page as normal.
