Help Desk - Personal Equipment Recycling (Handling)

Overview of the personal recycling program and the required incident information.

Service Description

Personal Recycling is a service provided to UW Madison Affiliates' personally-owned devices only.

We do not provide data destruction services to departmentally owned devices.

Departmental devices that require data destruction should be referred to their local IT.

Phone Agents

  1. Confirm device(s) user wants to recycle are personally-owned. Here is information on what we accept: Help Desk - Personal Computer Recycling Program FAQ.
  2. If device(s) qualify for personal recycling, refer user to drop them off at Onsite.
  3. Classify the incident as Referrals --> Referred to Onsite and resolve case.

Process for Onsite staff

Is this device personal or departmental? 

If departmental: device can not be submitted for personal recycling. Departmental devices that require data destruction should be referred to their local IT.

If personal: proceed with this document.

Make it clear to the user that their devices will be irretrievable once submitted and all data they want saved should be backed up prior to submission.

Give the user the Personal Recycling Form to fill out while you create an Incident in Cherwell.

The Personal Recycling Form should look like this:

Make sure the user fills out both front & back side.

If the stack is running low then print out more of the forms. A digital format is located in the Onsite shared Google Drive.

While the user is filling out and signing the form, start a Personal Recycling Incident in Cherwell. Use the quick action and follow the prompts.

Based on the form and your observation of the items, detail all submitted devices in the description box of the incident.

Incident Details

Write a detailed note on steps taken.

Once you have confirmed that user has completed and signed the Personal Recycling Form. Place it in the respective Personal Recycling Form bin.

Write the Incident number on a green sticker and place on device(s).

Bring devices into Room 1050A.

RepairRoom

There should be a shelf labeled "DoIT Recycling Storage Shelf" containing other devices with green stickers.

DeviceShelf

Place devices on shelf with heavier devices prioritized on lower shelves.

Congratulations! You can now resolve the incident in Cherwell.
