Name in Use (Preferred Name) - Exceptions to the Last Name in Use Procedure
In some cases, faculty and staff may want to use a last name in their University correspondence that is different from their legal last name. This type of issue will be treated as an exception to the normal Name in Use policy.
Example: Buckingham Badger is a researcher at UW-Madison. When he first began publishing research, this is the name he used in those publications. Buckingham is now married, and he decided to change his last name to include his wife's given name, Marten, so his legal name is now Buckingham Badger-Marten. However, he continued to use the same name (Buckingham Badger) as his Microsoft 365 display name, so that he could be correctly identified in his professional correspondence.
If you have a situation similar to the one described above, please follow the instructions here to edit your Name in Use (Preferred Name) in Workday.
Help Desk Internal Note
If a customer has an active student affiliation with UW-Madison (undergrad or graduate), Name in Use requests will not be considered, even if they have a faculty or staff position. This is due to limitations with the way the Student Information System and CAOS handle data. Please see the following KB for options for students that would like to update their Name in Use: https://kb.wisc.edu/56644
