NetID - Graduate Students and NetID Status
This document is an overview of the Graduate student NetID activation and enrollment process.
Graduate students will usually contact the Help Desk about not being able to enroll in courses or activate NetID services such as email or Microsoft 365.
Graduate Enrollment Process:
- The applicant submits their application to the Graduate School.
- The day after they apply, an automatic email is sent to the applicant telling them how to activate their NetID.
- The department recommends the applicant for admission.
- The Graduate school reviews and admits the student.
- Auto-matriculation begins 11 weeks before the first day of classes (1 week before enrollment begins).
- The Registrar's Office term activates student 1 day after they are matriculated.
- The student is now eligible for wisc services.
Graduate Student Identification and Referrals
If an incoming graduate student calls in and asks if they are eligible for NetID or email services yet, one way you can determine this is by checking their Portal View in the Help Desk NetID Utility.
We can identify Graduate students in the Help Desk NetID Utility by checking their Student View in Portal and Graduate Applicant View in Portal statuses.
- If it says Yes next to Student View in Portal, then you should instruct them to activate their NetID services in the NetID Modification tool.
- If the customer has No next to Graduate Applicant View in Portal or Student View in Portal, it is possible that this student has not been matriculated.
Important notes about eligibility timelines for graduate students
- The NIDU fields are not always indicative of whether or not a student has been matriculated or not.
- Help Desk agents cannot say for certain when an applicant who has been admitted will be matriculated. Matriculation is an automated process that begins 11 weeks before school.
- The Admissions deadlines from the Graduate School is available here: Deadlines for Processing International and Domestic Applications.
- Customers should contact their respective graduate school to confirm matriculation status.
- Only the graduate school office matriculates students. Students should wait 24 hours after being matriculated for their status to update.
- If the student says they have been matriculated and have waited 24 hours, check that they do not have multiple LDAP records (NetID Utility - Troubleshooting Multiple LDAP Records). After this, use the the IAM Advanced Support channel for additional questions.
