Student Hourly Hire Process

Faculty and staff can hire a student hourly using personal grant or flexible money. This document describes the process for hiring a student hourly employee.

To hire a student hourly employee, please send the request, and include the following information, to Haiyan Wei:

1. Student's full name and email address
2. Student's birth date
3. Dates of hire
4. Hourly pay rate (minimum $9/hour; maximum $15/hour)
5. Fund/grant info

It is very important to let Haiyan know about the student hourly worker before the student starts working.  If they have not worked for the UW before, they are required to complete the I9 (U.S. employment eligibility) verification process before they are allowed to work.  ALC staff will email the I9 request to students.  Payroll paperwork (W4 and direct deposit) will also need to be completed and processed by the Campus Payroll office:
  1. W-4 https://uwservice.wisc.edu/docs/forms/pay-employee-withholding-a.pdf
  2. Direct Deposit https://uwservice.wisc.edu/docs/forms/pay-direct-deposit.pdf
Once students are set up in the HR system by ALC staff, they will be responsible for submitting their hours in the online biweekly timesheet, accessed through MyUW.  Supervisors then need to approve the timesheets as per the biweekly pay schedule.

Please contact Haiyan Wei or Jenn Hekman with questions about student hourly hires.
