Accessing Archived Academic Structure Documents
What is imaged?
- Academic Structure [IN PROGRESS]: program review, new/change/suspend/discontinue proposals, accreditation, etc.
- This will include all proposals from UW-System merger (approx 1970) through today making a central location to find all finalized proposals. Note: with Lumen Programs, typically the greater than 50% changes will be included (not less than 50% curricular changes).
- University Academic Planning Council (UAPC): Proposals at the time of UAPC review, minutes, agendas, other documentation reviewed.
- University Curriculum Committee (UCC): minutes, agendas, projects (requisite amnesty, graduate/sustainability attribute
- Course proposals: all course proposals types
Who has access?
- Academic Planners in each school/college/division. If a school/college/division hires a new academic planner and they need access, please email lumen@provost.wisc.edu and fill out this Qualtrics form: https://uwmadison.co1.qualtrics.com/jfe/form/SV_bOUJhLJpD4e95ZQ
- Campus partners with access to the course catalog (Course Proposals via SIS only)
- Data, Academic Planning & Institutional Research

How to access?

A Tableau Dataviz is available to access the Academic Structure drawer. Items are organized by school/college, department, plan, and subject.
- Digital drawer access (Recommended)

- Note: Utilizing the Digital Access and the Desktop client will require minimal understanding of databases and basic query skills.

- Perceptive Content is used elsewhere on campus, thus you may already have this on your computer.

Course Proposals
- Log into VPN and SIS: https://registrar.wisc.edu/sislogin/
- Navigate to the course catalog: Curriculum Management > Course Catalog > Course Catalog
- Enter the subject code number and catalog number for the proposal you want to access.
- Click the "Imaging" link to access digitized proposals.

You will be prompted to log in to the UW System Imaging system. Select UW-Madison and log in with your NetID and password.

A list of imaged course proposals will appear. Scroll to the right to see additional information that might help you select the correct file.

All predefined queries require VPN and authentication to access.

- Code
- Utilize the SIS code. This could be a plan code (MS 021ALS), department code (A0070), or School/College value (ALS). Typically, this will be the plan code, however if the documentation is related to the department or school/college, it may require a different value.
- DepartmentDivision
- Utilize the SIS code. This will start with a letter, determined by the school/college, with 4 additional numbers. (A0070)
- SchoolCollege
- Utilize the Shortened version for Perceptive Content Value, example: "ALS"

- Agenda or Minutes
- Select either A_APIR_UAPC_Agenda or A_APIR_UAPC_Minutes. This prompts the user with a dropdown field, searching the UAPC drawer and the document type selected.
- SIS Code
- Utilize the SIS code. This could be a plan code (MS 021ALS), department code (A0070), or School/College value (ALS). Typically, this will be the plan code, however if the documentation is related to the department or school/college, it may require a different value.
- UAPC Code
- This is the code assigned based on the UAPC meeting date and agenda item number. Example: 2021.10.21.04 (October 21, 2021 meeting item #4)

- Project
- If there is a bulk project, this will have values assigned by drop-down. Example: Obsolete (Obsolete Course Proposal)
- Subject
- The numerical version of the subject code. Example: 208 (BOTANY)
- UCC Code
- This is the code assigned based on the UCC meeting date and agenda item number, if applicable. Example: 2021.10.21 (October 21, 2021)
