NutriSci Employee Onboarding Worklist
Workflow for hiring managers, new employees, and onboarding staff of Nutritional Science Department to help ensure that all steps are completed by a variety of personnel in order to get new departmental employees everything they need to function in their new role.
Not all steps are required for all new hires. Some items are dependent on the role of the new hire (undergraduate staff, graduate/post doc staff, staff, instructional, PI, proctor, etc). The party generally responsible for the task item will be listed parenthetically after each item, should any questions arise.
- Background check (Departmental Administrator)
- JEMS Hire request sent to CALS HR (Departmental Administrator)
- Send appointment letter (Departmental Administrator)
- Funding and TL security (if applicable) entered into HRS (Departmental Administrator)
- Process immigration status paperwork (if applicable) https://www.ohr.wisc.edu/ifss/index.htm (Departmental Administrator)
- Set up employee in HireRight for I-9 (Administrative Assistant)
- Obtain campus authorization and direct employee to obtain UW Photo ID card.(Departmental Administrator)
- Complete and submit health insurance forms/sign up for Benefits 101: (Departmental Administrator/employee) - linked from appointment letter and completed online.
- Activate NetID by visiting https://www.mynetid.wisc.edu/activate (employee - cannot complete this step without UW Photo ID card)
- Verify I-9 documentation (Administrative Assistant)
- Complete New Employee Forms online - linked from appointment letter and completed online (employee)
- Issue phone/line/number (Departmental IT)
- Identify and set up computer for employee use (Departmental IT)
- Nutrisci/AD account integration for user/computer/group permissions (Departmental IT)
- Add employee ID to relevant departmental distribution lists - does not apply to undergraduate workers unless specifically requested (Departmental IT)
- Add employee email to copy machine address book - does not apply to undergraduate workers unless specifically requested. (Departmental IT)
- Issue keys and collect key deposit (Administrative Manager)
- Explain transportation/parking application process. (Departmental Administrator)
- Update web directory/bio/photo (Departmental IT for staff/faculty, Graduate Program Coordinator for grad/postdoc)
- Update census/directory/key tracking (Administrative Manager)
- Order business cards, if applicable (Administrative Manager)
- Provide links to campus map, free campus bus, and directions for signing up for WiscAlerts: (front office - Rm266)
- Go over HRS time entry or monthly leave reports (PI/Supervisor)
- Schedule pertinent training for University applications, security, equipment, special access: (PI/Supervisor)
- Provide overview on connecting to email, printers, shared drives, VPN, voicemail portal, as needed. (Departmental IT)
