Registration Experience

Overview of what to expect of the registration experience at the initial launch of CERCLE.

This section provides an overview of the familiar and different features of the learner registration experience in CERCLE* beginning on July 1. You will note some changes that may impact how you support learners in the registration process. Please note that we are building additional system components, and you can expect some enhancements late this fall.

*Events that finish in Momentus retain the expected functionality and learner experience.

What’s familiar?

  • CANVAS ENROLLMENT: Enrollment in online courses will still happen automatically and learners will receive their email from the Division of Information Technology (DoIT). This may take a few minutes longer than this has in the past. 

  • PAY ONLINE: Learners can register and pay online with a credit card or select the option to pay by Worktag (funding string).

  • MULTI-REGISTRANT TRANSACTIONS: Multiple learners can still be registered within one transaction; one representative may register multiple learners for a given event.

What’s different?

  • ACCOUNT LOGIN: Learners will not log in to a unique account before registration. 

  • MOBILE DEVICE: Users can expect a more streamlined and intuitive registration on a mobile device or tablet. 

  • REGISTRATION INTERFACE: The overall flow and layout of the registration form will feel different in the new system. For example, the order of attendee and orderer information has changed. During registration, users will first select course-specific details, followed by personal information. If the person completing the registration (the orderer) is different from the attendee, they will then provide their own contact information before proceeding to payment.

  • SEPARATE EMAIL CONFIRMATIONS: In CERCLE, registration and payment confirmations will be sent in separate emails. The registration confirmation will be sent to the learner, while payment-related emails will be sent to the person completing the registration (orderer), who may or may not be the same person. The orderer will receive two emails: one general confirmation of the order and one payment receipt

  • INVOICING: Learners/organizations will receive an email invoice directly through CERCLE, not through Workday. Financial questions should be directed to registration@cerc.wisc.edu

What do we expect to change in November (and beyond)?

  • FORMASSEMBLY: The project team is in the process of purchasing FormAssembly, a Salesforce add-on that will allow us to build and manage complex online forms. Once configured this Fall, FormAssembly will help streamline several processes, particularly registration scenarios that are more complex than our standard course setup, such as those requiring approvals, multi-step forms, or additional documentation.

  • SESSIONS & ADD-ONS: In the next project phase, we plan to enhance the registration process by allowing learners to select sessions and add-ons as part of their course/event registration. These options will be set up individually by event and may include things like workshops, activities, course materials, or textbooks.

  • LEARNER PORTAL: Registrants will not need to log in to or set up an account in order to register for their selected course(s) as CERCLE will not launch with a learner portal. Having a learner portal is desired functionality within future scope for the technical and project teams.
