Registration Experience

Overview of what to expect of the registration experience in CERCLE.

This section reviews the familiar and different features of the learner registration experience in CERCLE (compared with the previous experience through Momentus). You will notice some changes in the registration process that impact the overall registration experience.

What’s familiar?

  • CANVAS ENROLLMENT: Enrollment in online courses happens automatically, and learners will receive their email from DoIT (Division of Information Technology) inviting them to log in to Canvas. 
  • PAY ONLINE: Registrants can pay online either with a credit card or select the option to pay by Worktag (funding string). 

  • MULTI-REGISTRANT TRANSACTIONS: Multiple learners can still be registered within one transaction; one representative may register multiple learners for a given event. 

  • SESSIONS & ADD-ONS: Learners can select sessions and add-ons as part of their course/event registration. These options can be set up individually by event to include things like workshops, activities, course materials, or textbooks. Additionally, these options can be configured for tax collection based on the event location or the order location in the state of Wisconsin. Tax exemption can also be applied, as warranted. 

What’s different?

  • ACCOUNT LOGIN: Learners will not log in or set up an account before registration. Having a learner portal in CERCLE is desired future functionality.  
  • MOBILE DEVICE: Users can expect a more streamlined and intuitive registration on a mobile device or tablet. 

  • REGISTRATION INTERFACE: The overall flow, layout, and order of the registration form in CERCLE. During registration, for example, users will first select course-specific details, followed by attendee information. If the person completing the registration (the orderer) is different from the attendee, they will then provide their own contact information before proceeding to payment. 

  • SEPARATE EMAIL CONFIRMATIONS: In CERCLE, registration and payment confirmations are sent in separate emails. The registration confirmation is sent to the learner, while payment-related emails are sent to the orderer (person completing the registration), who may or may not be the same person. The orderer will receive two emails: one general confirmation of the order and one payment receipt. 

  • INVOICING: Orderers will receive an email invoice directly through CERCLE, not through Workday. Financial questions should be directed to registration@cerc.wisc.edu.  

  • DISCOUNTING: Discount codes can be applied to the main registration fee, but not to sessions and add-ons. To ensure a smooth set-up in CERCLE, we encourage program administrators to keep discount code use simple. The CERC team is available to answer questions and talk through specific events with you. 

  • TRANSFERRING REGISTRATION: CERCLE currently has limited functionality for transferring a learner from one course to another. Because transfers can affect billing and fees, we recommend consulting with the CERC team to discuss your needs, the available options, and the best approach based on the system’s current capabilities. The CERC team and CERCLE system administrators continue to assess this functionality for potential future enhancements.
