How to make a postcard labels with a Excel/Word merge

How to Make Postcard Labels

1.      Grab a computer from the OAs

2.      Log onto the SOAR Reservation System

3.      Click on “Admin Reports” on the left side

4.      Select “Housing Group Assignments”

5.      Select today’s session from the dropdown menu and “Export to Excel” (button located at the top of the page)

a.      If there is more than one roster for the day’s session, export all rosters and copy and paste them into one large document

6.      In Excel, select the entire document (you are able to do this by clicking on the triangle located at the top of the Excel sheet)

7.      Select “Data” and the click “Remove Duplicates”

8.      Next, click “Sort & Filter” located under the “Home” menu in Excel

9.      Choose “Custom Sort”

a.      Sort by: “Acronym”

b.      Sort on: “Values”

c.      Order: : “A to Z”

10.   Next, save the document as an Excel Workbook in the O:Drive

11.   Open the Label Merge Document located in the O:Drive

a.      O:\CFYE\SOAR\Student Evening Program\2015\PostcardLabels

12.   In the Label Merge Document, select “Mailings” at the top of the screen

13.   Next, select “Start Mail Merge” and then “Step by Step Mail Merge Wizard”

a.      Click “Next: Starting document”

b.      Then click “Next: Select Recipients”

c.      Then click “Browse”

                                                    i.     Find the Excel sheet that you just saved with the housing groups

d.      After, click “Next: Write you letter”

e.      Select “Next: Preview your letters”

f.       Click “Next: Complete the merge”

g.      Then on the top of the page, click “Finish & Merge” and then “Edit Individual Documents”

14.   YOU ARE READY PRINT! J

15.   Select the “SOARPR-SOAR-USouth-Alumni-BW” printer

16.   When you place the labels into the printer they should be facing up

 

How to Print Housing Groups

1.      In the Excel document that you saved with the housing groups, click “Page Layout”

2.      Then select “Print Area” and “Set Print Area” for the small groups

3.      Print with landscape orientation to the “SOARPR-SOAR-USouth-Alumni-BW”
