Vilas KeyWatcher Instructions

Instructions for setting up WisCard access and properly using the IMC Keywatchers located in Vilas Hall.

Overview

Vilas Hall KeyWatchers are located in the 3rd floor lobby outside the IMC (3160) and the 2nd floor hallway outside Studios D and E.  KeyWatchers are used to access editing facilities in the IMC (3rd floor) and studios and equipment (2nd floor).

  1. Keys must remain in the building.  Return them to the KeyWatcher when finished.
  2. You may only take a key for the time that you've reserved a particular resource.
    1. Editing Suites: reserve in Connect2 first.
    2. Studios/Advanced Gear: reserve in course Google Calendar.
  3. These resources may only be used for courses or projects that require them.  Use of these resources for other courses, work, or sharing with other individuals is strictly prohibited and will result in loss of access.

Account Setup

Before you can use the KeyWatchers, you need to activate your account.  This only needs to be done once per semester and can be done at either KeyWatcher.  You will need to have your Wiscard with you.

  1. Tap "Start."

  2. Enter your User ID, which is the last six digits of your campus ID number.

  3. Enter 3160 as your temporary PIN, then press "Login."
  4. You will be prompted to create a new 4-digit pin.  Click Save PIN Changes to continue.

  5. You will be prompted to scan your Wiscard twice by tapping it on the reader to the right of the screen.  It will display O after the first scan, and K after the second scan.   Tap "Done."

NOTE: If you ever need to replace your Wiscard, it will need to be re-scanned into the KeyWatcher.  Please contact the IMC (imc@commarts.wisc.edu) to have your KeyWatcher account reset and repeat the steps above.

Removing Keys

  1. Scan your Wiscard on the reader to the right of the screen.

  2. Tap "Remove Key" on the screen.

  3. Select the key you need from the list.  Refer to your Connect2 booking confirmation to make sure you're taking the correct key.

  4. Tap "Remove Keys" at the bottom of the screen.  The KeyWatcher will beep to indicate when to open the door.
  5. The key you requested will flash red.  You may now remove it from the panel.
    KWT light indicates which key to remove.
  6. Firmly shut the door to the KeyWatcher.

Returning Keys

  1. Scan your Wiscard on the reader to the right of the screen.

  2. Tap "Return Key" on the screen.

  3. Press "Return Keys" at the bottom of the screen.  The KeyWatcher will beep to indicate when to open the door.
  4. Return the key indentation-side down to any available slot.

  5. Firmly shut the door to the KeyWatcher.
