Information needed for finalist pages
Following is the list of needed information DoIT Communications need in order to publish a webpage disclosing the finalists for a recruitment and sharing the information regarding their presentations.
- A description of the relevant department/unit. Note: this may be available from the linked pages found on the About DoIT page.
- A PDF of or link to the position description, such as a link to the relevant entry in the Standard job description library.
- The dates on which each candidate's name is to be made public.
- The name, title and affiliation (school/division/department/unit or company name) of each candidate.
- An HR redacted PDF of each candidate’s resume.
- The time, date and location of each candidate’s presentation. If virtual, the meeting information needed to view each candidate’s presentation, e.g., a Zoom meeting id and passcode.
- The link to a feedback form.
- A deadline date for leaving feedback. Note, deadlines are generally as of end of business on the deadline date, and should be listed as such on the finalist page out of courtesy to those who work second or third shift. For example "The deadline for feedback is end-of-business on September 30." Note: we recommend a minimum of 5 business days from the last presentation to allow time for:
- Us to procure professional captions audio descriptions for all recorded presentations.
- Those who need them to make use of captions and audio descriptions, so that they may contribute their feedback.
- The topic on which finalists are being asked to present.
- Once the presentations have occurred, we can add links to recording of the presentations. While we must get them transcribed and captioned, we can post them as “captions pending” with or without uncorrected auto-captions.
- The date after which candidate information is to be removed or in the case of videos uploaded to Kaltura, made private. Affected information includes names and other personal information, resumes and presentation recordings.
- Are the video recordings of finalist presentations to be published publicly or internally only?
