MDS-SMB-Print - How to use Intuitive BI Papercut reporting Dashboard - DRAFT

The Intuitive BI (Business Intelligence) Dashboard for PaperCut provides an easy way to view and analyze printing activity, costs, and usage trends across your organization.

Getting Started

Note  This dashboard is still in Pilot and has some inaccuracies/.points of confusion that it is important to address in order to accurately interpret data in these dashboards. As we continue to use Papercut on campus and it rolls out as a complete service, these issues will hopefully be addressed. 

  • # of printers/devices is currently inaccurate due to devices not reporting Serial #s.
  • We have averaged the price for color and B&W printing in order to get a more accurate depiction of costs. This is in response to the fact that most folks are printing mostly black and white, but not selecting greyscale so papercut counts this as a Color print. This also explains why color print ratios are higher than expected for most departments
  • Some data, such as department, may show up as unknown. This is due to inaccuracies in Active directory which are synced over. When pages are properly filtered, devices listed as unknown department are still in the filtered department. 

Logging In

  1. http://dep-pprct-app.doit.wisc.edu:8080/HTML5/index.html#login

  2. Enter your departments intuitive BI account username and password.

  3. You’ll land on the Home Dashboard (executive report) for your department.


Dashboard Layout

Main Sections

  • Navigation Menu (left/top): Switch between reports

  • Filters Panel: Narrow down data (date, Print Group (Department), user, printer, etc)

  • Visuals Area: Charts, graphs, and tables

  • Export Options: Download or share reports


Using Filters

Filters help you customize what data you see.

Useful Filters:

  • Month – View data for a specific period

  • Printer Group – Focus on a specific Department

  • Printer/Device – Analyze specific machines

Tips:

  • Apply multiple filters for precise results

  • Always click Apply/Update (if required)

  • Use Reset Filters to return to default view


Understanding Key Reports

Summary (Executive Summary)

  • Shows a good overview of the top users, printers and a list of recent documents.

Cost

  • Displays printing costs by:

    • Department

    • User

    • Device

  • Helps control expenses

User Analysis

  • Highlights top users

  • Detects unusual or excessive printing

Volume

  • Shows printing activity over time

  • Identify peak usage periods

Printer

  • Tracks how often each printer is used

  • Helps optimize device placement

Scan Analysis

  • Scan Activity (30 days
  • Top 10 departments scanned pages

Cost & Environmental Impact 

  • Paper usage

  • Estimated trees/water saved


Interacting with Visuals

Drill-Down

  • Click on charts to see more detailed data

  • Example: Click a department → see users within it

Hover

  • Hover over graphs to see exact values

Cross-Filtering

  • Clicking one chart updates others automatically


Exporting & Sharing

Export Options

  • PDF – For presentations

  • Excel/CSV – For deeper analysis

  • Image – Quick sharing


Best Practices

  •  Regularly review dashboards (weekly/monthly)

  •  Use filters instead of scrolling large datasets

  • Compare trends over time for better insights

  •  Watch for unusual spikes in usage or cost

  • Refresh the dashboard
