In Perceptive Content (Imaging) software, you can use the Capture Profiles function to set options for getting your documents into the imaging service. You can use a personal scanning device for low volume or batch processing for high volume. In addition, the Perceptive Content server has a Batch Agent function that allows more robust document capture functionality. This KnowledgeBase document describes options for Capture Profiles.
Perceptive Content (imaging) can gather your documents whether they are in physical "hard copy" format or electronic "soft-copy" stored on your local computer or remote computer. From a given source, a scanner for example, you create a new Perceptive Content Capture Profile that sets the options you want for document indexing, workflow, image processing, capture mode, and more. You can also create a Capture Profile with other sources, such as files or the ImageNow Printer.
After you create one or more new Capture Profiles, they appear directly on the Capture drop-down menu in Perceptive Content. To manage your capture profiles (or create another new one), from the Capture drop-down menu, select Manage Capture Profiles.
Manage Capture Profile Source
After selecting Manage Capture Profiles from the Capture drop-down menu, a Capture Profiles dialog box displays. This allows you to create and manage your capture profiles. When you create your Capture Profile, you define the Capture source using three options: File, Scanner and ImageNow Printer.
File - lets you retrieve documents from a file system. From the Import dialog box, choose the files you want to import. What happens to the objects during the import process depends on the settings in the Capture Profile you are using.
Scanner (not shown in above screenshot) - The Scanner option displays only if you have an actual scanner machine connected to your computer. This setting allows you to load paper (or other items) into the scanning device. The device captures the items and loads them into Perceptive Content imaging software. The various Capture Profile settings determines what happens with objects once they are captured.
ImageNow Printer - allows you to import a document, such as a Microsoft Word document, into Perceptive Content without having to print and scan it first. You can import the document directly using the Print button inside the software program with which the document was created. Before you can use the ImageNow Printer, you must create a corresponding capture profile where ImageNow Printer is the source. Refer to the New Capture Profile Mode Types section below to learn about capturing one or more ImageNow Printer source documents using default settings in both Single and Batch mode.
New Capture Profile Mode Types
After clicking the Create button from the Capture Profiles dialog box, the New Capture Profile dialog box displays. The General tab shows a Mode drop-down box which allows you to choose from a menu of document capture mode options. (Refer to screenshot below). These document capture Mode options aim to provide you with flexibility for getting document pages into Perceptive Content quickly.
- Single - This mode captures documents and immediately indexes them in Perceptive Content by drawing on the properties of a predefined LearnMode Applet. Single mode is suitable for situations where you want to capture and link documents at the time you scan. In Single mode, you can scan multiple documents, including duplex (e.g. double-sided), without having to perform batch processing.
- Batch - This mode captures documents, gathers them in groups or batches, and uploads them to the Perceptive Content Server. Processing is based on settings specified in the Capture Profile. During the creation phase of batch processing, Batch mode does not work with an applet like Single mode. It can import documents into Perceptive Content whether or not you specify index keys.
- Package - This mode captures documents and allows for indexing of related data into a set of predefined baskets. Related data means documents share at least one common index value such as Patient ID or Patient Name. Package mode is ideal for use in point-of-registration or walk-up environments where document collectors are required to collect highly structured data in real time and want a way to verify and organize the data based on logical groups and other settings. Package mode now offers the ability to set up document rules which, in conjunction with Prompted Scanning, assist the user in determining which documents are to be included in Package mode capture.
Batch Import Agent (available on the Perceptive Content Server)
The batch import agent is available on the Perceptive Content server and can be configured to import your documents into Perceptive Content en masse. If you are interesting in batch importing, please complete the online ECM New Work Request Form.
