Reserving a Room via EMS

Information on how to make a generic room reservation in EMS.

Login to EMS:

Create A Reservation

         Create a reservation

    • Click "Create A Reservation"
    • Select the Reservation Template that meets your needs (List of available templates may vary from the screen shot). Click on the "book now" for the template of your choice.  Click on "about" to see more details about the the available spaces and booking rules for that template.
      • If you have any questions regarding a specific template, you can reach out to the administrator for that unit, found here: EMS Contact List

    • Clicking "book now" will bring up the Room Request form. 

Space Requirements Filter

  • Enter the date, time, and time zone for your event
  • Enter the buildings that will work for your reservation
  • Enter the number of people attending the event

  • Now click on the Search button to have the system locate a room that matches your criteria. This will bring up a list of rooms that meet your specified filters.  There are two views here: the default is a schedule view, showing when the room is available and when it's booked.  The tabs under "Room Search Results" allow you to switch to a list view
  • To add a room that is available to your request, click on the "+" icon:

    • As you add rooms to the reservation, you'll be asked about the number of attendees and, if available, the way you want the room configured for your event
             

    Services Tab

    • Depending on your reservation space, there may be additional services available to you.  If this tab exists, go ahead and add any services that you will need.
      • Click Next Step to bring you to Reservation Details
             

    Reservation Details

    • Enter in all the details about your event. Any field with a "*" is a required field and must be entered.  Available and required fields may differ depending on the space you've requested.  When done, click "Create Reservation" to submit the request.
      • The Group field is mandatory - if you aren't booking on behalf of a specific group, please choose the option for "No Group"
               
    • You may see a confirmation box stating the request has been submitted
    • You can review your requests by clicking on the "My Events" link. Your event will be "pending" until it is approved. While it is in the pending status, your event will not show up on the room schedule.
