Zoom Whiteboard is a tool that allows Zoom users to create and share digital whiteboards with meeting participants. This document outlines how to access, create, share, and export Zoom Whiteboards.

Zoom Whiteboard

Description

Zoom Whiteboard is a persistent, digital canvas that allows users to collaborate and share on a virtual whiteboard in real time. Use Zoom Whiteboard to present and explain content, check on student learning, brainstorm, facilitate interactive discussions, and engage students through enhanced teamwork and creativity. 

  • Zoom whiteboards can be saved and reused across multiple meetings

  • Zoom Whiteboard has an advanced interface with several tool features (e.g. sticky notes, shapes, upload files and images, voting, comments, smart draw, a timer, and templates). For more information regarding these tools and others, see Using the Zoom Whiteboard

  • Zoom whiteboards can be shared with any participant during a Zoom meeting.

  • Zoom whiteboards can be shared after or outside of a meeting. This is available to Graduate Programs only. Sharing with external users (people without a full NetID) has been disabled.

Zoom Whiteboard Requirements

Access

Zoom Whiteboard may be accessed during or outside of a Zoom meeting.

All existing Zoom Whiteboards are available in all of a host's meetings. It is recommended that you have a strong naming convention for your whiteboards. 

Access Zoom Whiteboards during a Zoom meeting

  1. Start your Zoom meeting from the desktop client, Zoom web portal, or Canvas integration. 
  2. Click the Whiteboards button on the in-meeting menu. If Whiteboards is not present, click More to locate it.
  3. Click New Whiteboard to create a new whiteboard in the meeting or click Existing whiteboards to access previously created whiteboards.

    Access Zoom Whiteboards outside of a Zoom meeting

    From the web portal, desktop client, or mobile app: Click Whiteboards in the Zoom menu. If Whiteboards is not visible (desktop or mobile app), click More to locate it. 

    Whiteboards moved to trash are permanently deleted after 30 days.

    Application and Limitations

    • Use Zoom Whiteboards to annotate content, check on student learning, and promote student collaboration.

    • There is no limit to the number of boards you can create. 

    • Whiteboards can be viewed or edited by anyone during a Zoom meeting. Graduate Programs can share whiteboards outside of Zoom meetings. Admin has disabled sharing whiteboards with external users (those who do not have a full NetID). 

    • When a whiteboard is shared in a meeting, there is no set limit to the number of users who can edit it. However, limitations are applied if the amount of network traffic reaches a threshold. See Using Zoom Whiteboard in a Zoom meeting for more information. 

    • Zoom Whiteboard and classic whiteboard cannot be used in the same meeting at the same time. 

    • Each whiteboard has a storage capacity of 200MB. 
      • The maximum size for a single PDF is 35MB.
      • The maximum size for a single image (PNG or JPG) in 5MB.

    • A maximum of 5000 characters is allowed in one character string. Extra characters will be removed. 

    Create a Zoom Whiteboard

    New Zoom Whiteboards can be created from within a Zoom meeting, from the desktop client, mobile client, web portal, or Zoom Web app. See Getting Started with Zoom Whiteboard for more information about creating a new Zoom Whiteboard. 

    Add a Zoom Whiteboard to a scheduled Zoom meeting

    All Zoom Whiteboards are available in all of the host's meetings. It is recommended that you have a strong naming convention for your whiteboards. 

    A whiteboard may also be added to a Zoom meeting within the meeting scheduler. 

    The benefits of adding a Zoom Whiteboard to a scheduled meeting are:

    1. You can pre-select whiteboard permissions (Editor, Commenter, or Viewer). 

    2. It provides easy access to a particular whiteboard associated with the meeting. (Access through the meeting scheduler).

    Note: Only one whiteboard can be added to a meeting in the scheduler. The Zoom Whiteboard will be added to all occurrences of the same meeting. 

    Share a Zoom Whiteboard during a meeting

    Learn how to share a whiteboard.

    To share a whiteboard with in-meeting participants do one of the following.

    Option 1: Whiteboards button

    1. Start the Zoom meeting and click Whiteboards. If the Whiteboards button is not visible in the in-meeting controls, locate it by clicking More. 
    2. Choose New Whiteboard or Existing Whiteboards and select the whiteboard to share. 

    Option 2: Share button

    1.  Ensure Zoom Whiteboard will be shared by default when screen sharing in Zoom settings. 
    2.  Start the Zoom meeting and click Share.
    3. Click the Documents tab at the top of the window.
    4. Click Whiteboard, then click Share. 
    5. Choose an existing whiteboard, or click New in the upper right to create a new whiteboard.

    Regardless of how an existing whiteboard is shared with participants in a meeting (Whiteboards or Share button), you will first be asked how you want to open the board.

    Choose Collaborating (meeting participants can edit the whiteboard) or Presenting (meeting participants can view but not edit the whiteboard). Choose whether or not to allow persistent access to verified meeting participants after closing the whiteboard. External users cannot be granted persistent access (disabled by admin). 

    Click Open board.

    Share a Zoom Whiteboard outside of a meeting (Graduate Programs only)

    Note: Only Graduate Program students can access whiteboards shared via email, link, or embedded in Canvas. External link sharing (sharing with people without a wisc.edu email address) has been disabled by admin.

    Whiteboards can be shared with and edited by all participants during a Zoom meeting. Exported whiteboards can be shared as a PDF in Canvas or any email. See Export a Zoom Whiteboard.

    Advanced Sharing Options

    Click the carrot next to the Whiteboard button in the in-meeting controls for the following advanced sharing options. 

      • Allow meeting participants to share whiteboards during the meeting.
      • Specify who can start sharing when someone else is sharing.
      • Specify who can initiate a new whiteboard in the meeting (all whiteboards created in the meeting belong to the host).
      • Specify who can facilitate whiteboards during the meeting (facilitation features include timer and laser pointer). 

    The default advanced sharing options can be adjusted by signing into the web portal > Settings > Whiteboard.

    UW-Madison has disabled external link sharing and sharing whiteboards with external users outside of meetings. 

    Export a Zoom Whiteboard

    Zoom Whiteboards can be exported and shared in Canvas. 

    To enable the export of a Zoom Whiteboard:

    1. Sign in to the Zoom web portal.
    2. Click Settings on the left menu, then click the Whiteboard tab at the top of the screen. You may need to use the right arrow to locate the Whiteboard tab if hidden. 
    3. Enable Allow export of whiteboard content for In-meeting Whiteboard and/or Out-of-Meeting Whiteboard.

    Whiteboards can be exported in PDF, PNG, and CSV formats. 

    Enable export of in-meeting whiteboards in Zoom settings.

    Enable out-of-meeting export of Zoom whiteboards.

    To export a Zoom Whiteboard:

    1. Open the desired Zoom Whiteboard. Refer to Access for more information. 
    2. Click the hamburger menu in the upper left corner of the whiteboard.
    3. Click Export and choose your export format.

    4. In the following window, choose the export area or objects you would like included in the export. 
    5. Choose any needed advanced export options available.
    6. Click Export.
