Computer Equipment Allocation Policy
Rationale/Purpose of the Policy
To ensure equitable use of space and equipment at 3500 University Ave.
Definitions
- Assigned Workspace: A designated workspace assigned to an employee with a headquarters location at 3500 University Ave by the Division where they can regularly work.
- Reservable Workspace: A workspace at 3500 University Ave that can be reserved by Extension employees for temporary use, equipped with a computer set-up.
- Computer Peripherals: Equipment including docking station, monitor(s), keyboard, mouse, and webcam that is provided to employees covered by this policy (for use with the laptop they are provided). Note: It is assumed that employees will bring their laptop between their office location and remote location for work purposes.
- Headquarters Location: See definition on UW-Madison Remote Work Policy.
- Remote Location: Any location outside of 3500 University Ave where an employee chooses to set up their computer peripherals for remote work

In Scope
- Extension employees with a headquarters location at 3500 University Avenue.
Out of Scope
- Employees whose headquarters location is not 3500 University Avenue.
- Employees with approved 100% remote work agreements.
Policy Details
Employees with a headquarters location at 3500 University Ave have choices regarding their computer peripherals setup based on their in-office and remote work schedule. Those options are found under the Computer Equipment Options section of this article.
Computer Equipment Options:

Employees in Office 40% or More:
- Option 1: Set up computer peripherals at a 3500 University Ave assigned workspace.
- Option 2: Set up computer peripherals at a remote location. Employees can still have an assigned workspace at 3500 University Ave, but it will not include any of their allocated equipment. Alternatively, they can choose not to have an assigned workspace and use a reservable workspace with a computer set-up when needed. Employees who choose Option 2 should complete the workflow below to elect computer peripherals at a remote location.

Employees in Office Less Than 40% (More Than 60% Remote):
- Set up computer peripherals at a remote location. Not eligible for an assigned workspace. They should use a reservable workspace with a computer set-up when working at 3500 University Ave.

Employees are responsible for setting up equipment at their remote location. Please reference V. Equipment, Materials, and Supplies section of the UW-Madison Policy on Remote Work Agreements for details.
