Onboarding Checklist - New Employees - All New Employees - First Month

All new Division of Extension employees must complete a set of tasks within the first month of employment. This onboarding checklist is designed to complement information that is sent to all new hires by the Administrative Services Unit (ASU). If new employees have any questions regarding the tasks below, they should work with their supervisor.
Below you can find two types of 1st Month Tasks:
  1. Required Tasks - These tasks must be completed within the first month of employment. These are fundamental tasks that all new employees need to complete to get started at the Division of Extension and UW-Madison. Supervisors will work with and verify that new employees have completed all required tasks.
  2. Recommended Tasks - It is recommended that new employees complete these tasks within the first month of employment. Recommended tasks will generally be informational and may be applicable to later required tasks. These will not be verified by supervisors.

UW-Madison onboarding policy requires the Division of Extension to collect feedback during the course of onboarding new employees.

Complete Benefits Enrollment (First 30 Days)

Applicable To

All new employees (does not apply to student hourly)

Background

  • Most benefits plans have a 30 day enrollment period from the start date of a new hire's appointment.
  • Some plans have additional requirements.
  • New employees should complete benefits enrollment within their first 30 days!

Instructions

  1. Make sure you've reviewed all new employee benefits resources
  2. Complete your benefits enrollment within the first 30 days of your appointment!

Complete Expectation and Goal-Setting Conversation 

Background

With your supervisor, you will develop and implement performance goals based on Extension’s highest priority work as reflected in your Department, Institute, or service unit’s plan of work. New employee’s goal setting conversations should be done within 30 days of his/her start date. These goal setting conversations should cover major duties of the job, work priorities, and how work will be evaluated. Date of the conversation, goals, and expectations must be documented in the Performance Management & Development Program (PMDP) and acknowledged by you.

Instructions

  • Complete Expectation and Goal-Setting Conversation within 30 days of your start date.

Complete Required Civil Rights 101 Training

 

How to Register for the Civil Rights 101 Training

These instructions explain how to register for the Division of Extension’s Civil Rights 101 Training through the UW-Madison Office of Human Resources (OHR) Registration System. By registering for the online course via OHR, instead of directly in Canvas, your course completion will be reflected in your official UW-Madison employee learning transcript.

1) Use this link to Civil Rights Training 2021-2024 to register

            a) Alternatively, search for the training in OHR’s Professional Development Course Catalog.

2) After selecting the course, click on “Login & Register” at the bottom of the window

3) If prompted, login with your NetID, select UW-Madison as your organization, and complete the multi-factor authentication

4) After logging in, click on “Confirm Registration” at the bottom of the window

5) When registration is complete, click on the hyperlinked text “begin the online course”

6) This will take you to the home page of the Civil Rights 101 Canvas course

Completing the Civil Rights 101 Training

1) Navigate to the four lessons (or modules) from the bottom of the homepage or click on “Modules” in the navigation bar on the left side of the screen (highlighted below)

2) Allow 45 minutes to complete all four lessons:

  1. You do not need to finish all lessons at once; your progress is saved.
  2. When done, fill out the certificate form to confirm course completion.
  3. You will receive an email with your certificate attached.
  4. Save the completion certificate for your records.

 3) After you complete the course, it will appear in your employee learning transcript

Review How to Report High-Risk Injuries/Incidents

Background

  • An important responsibility of any Extension employee who engages in Extension Programs, Events, or Activities is to protect volunteers, participants, and third parties from harm. In the event of an accident, injury, or other incident, it is important to respond in a proactive manner.
  • The Division of Extension requires that employees escalate high-risk injuries and incidents to their supervisor and complete and submit the appropriate risk-management report using the high-risk injury/incident reporting workflow.

Instructions

  1. Review Risk Management - Injury & Incident Reporting - Injuries & Incidents and linked articles.
  2. Watch the relevant workflow training video (employee or supervisor).

Review Employee Assistance Office (EAO)

Background

  • The Employee Assistance Office (EAO) offers counseling and consultation to UW-Madison employees, significant others, and family members.
  • Service are at offered at no cost and are confidential.
  • Services include personal counseling, workplace consultation, well-being coaching and training.
