Student Recital Scheduling Policy

When can I begin reserving space for my recital?

  • Students performing mandatory, degree-required recitals (i.e. those enrolled in MUS PERF 499, 990, or 999) may submit requests for space beginning one month prior to the semester in which the recital is to occur.
  • Students performing elective, non-degree-required recitals may submit requests for space beginning at the start of the semester in which the recital is to occur.

 

How do I reserve a venue for my recital?

  • Check the room availability and submit event requests in EMS: https://uwmadison.emscloudservice.com/web/samlauth.aspxms.wisc.edu/
  • Provide details about the recital (publicity, setup information, repertoire, etc.) using the event intake form found here: https://go.wisc.edu/2034qz. Please be thorough in submitting this form. Do not submit the form twice; if changes are needed, send an email to musicoperations@music.edu. Space requests cannot be approved until the intake form is submitted. 

 

Where can my recital take place?

  • Collins Recital Hall in the Hamel Music Center is the optimal venue for all student recitals. Please endeavor to schedule your recital in Collins Recital Hall.
  • Recitals may also be scheduled in Morphy Recital Hall, but that space is extremely limited in its technical capabilities. It is not equipped for livestreaming nor audio or video recording.
  • As a last resort and on a limited basis, recitals may be scheduled in Lee/Kaufman Rehearsal Hall. Like Morphy Recital Hall, it is not equipped for livestreaming nor audio or video recording.
  • Student recitals may not be scheduled in Mead Witter Foundation Concert Hall.
  • Students electing to perform their mandatory, degree-required recital off campus or in non-School of Music spaces will still be required to pay the course fee and will need to make their own arrangements for any audio recording required as part of the recital course.

 

On what days and at what times can my recital take place?

  • Monday through Thursday: 7:30 - 9:00 PM
  • Friday: 4:30 - 6:00 PM and 7:30 - 9:00 PM
  • Saturday and Sunday: 11:00 AM - 12:30 PM, 2:00 - 3:30 PM, 5:00 - 6:30 PM, and 7:30 - 9:00 PM
  • Access to the performance space is allowed one hour prior to the start of the recital. For example, an approved reservation for a 7:30pm recital in EMS will automatically hold the hall at 6:30pm.
  • Recitals may not be scheduled during spring break, Thanksgiving recess, between semesters, or on major holidays observed by the University.
  • Elective, non-degree-required recitals may not be scheduled during exam week or the week leading up to exam week.

 

How much does a recital cost? How do I pay for it?

  • Mandatory, degree-required recitals cost $145. That cost includes performance hall access and an audio recording (in Collins Recital Hall only). This fee will be posted to your student account as part of your tuition bill for each required recital course in which you enroll (499, 990, 999).
    • Proof of enrollment in the recital course must be included on the intake form to have your recital reservation approved in EMS.
    • This fee is not covered by graduate assistantships or fellowships.
  • Elective, non-degree-required recitals cost $85. That cost includes performance hall access only. This fee must be paid separately in the School of Music online storefront (https://commerce.cashnet.com/WISC_MUSIC_STORE).
    • Proof of payment must be included on the intake form to have your recital reservation approved in EMS.
  • For recitals in Collins Recital Hall, optional livestreaming and video recording are available for an additional $100 charge, which should be paid in the School of Music online storefront (https://commerce.cashnet.com/WISC_MUSIC_STORE).

 

Can I have a dress rehearsal in the performance venue prior to my recital?

  • One dress rehearsal in the performance venue is permitted for each recital.
  • Dress rehearsals should be scheduled using EMS.
  • Dress rehearsals may not be scheduled during standard recital performance times.
  • Dress rehearsals will not include any stage crew, video, or audio support unless specifically arranged in advance, subject to crew availability.

 

Can I have a reception following my recital?

  • There is no private space for a reception in Hamel Music Center; however, short receptions may be held in the upper lobby area for a maximum of 30 minutes post-performance, pending availability and with approval of the Music Operations Manager, with the understanding that the space is inherently open to the public.
  • Alcohol may not be served.
  • All cleanup from any reception is the responsibility of those whose recital is scheduled; spaces must be returned to their original condition.
  • A custodial fee may be assessed to any user who did not fully clean and reset the space following their reception.
  • Please notify the Music Operations Manager (musicoperations@music.wisc.edu) if you intend to have a reception.

Who will create a program for my recital?

  • The School of Music does not provide physical programs for student recitals. If you wish to create your own program, feel free to use the template found here.

 

What technical capabilities does Collins Recital Hall have?

  • Student recitals may take advantage of one or two microphones for audio.
  • Computer inputs for audio and video are possible with an HDMI input.
  • Stereo miniplug auxiliary input is also available for audio playback. No other audio support is included or available.
  • Special technical requirements for DMA lecture recitals must be communicated on the intake form with all details.
  • Jazz recitals may use the same standard audio provided for jazz ensemble events: three microphones, two monitors, aux input, and amplified instrument inputs if needed. All performers must be present for a sound check one hour prior to start time.
  • Standard lighting is available for recitals, consisting of basic stage and house lights up and down.
  • All technical needs must be indicated on the intake form linked above when the recital is scheduled. Changes should be communicated by email to musicoperations@music.wisc.edu at least three weeks prior to performance date. Technical requests made without advance notice cannot be accommodated.

What if I need to cancel or reschedule my recital?

  • Requests to reschedule or cancel a recital should be sent to facilities@music.wisc.edu AND ebmurtaugh@wisc.edu at least two weeks prior to the event.
  • Requests to cancel or reschedule a recital that are received later than two weeks prior to the event will incur a rescheduling fee of $145 to be paid in addition to the non-refundable course fee.
