Locating EMS Reservations Using The Browser Tool

Instructions for using the EMS Desktop Client Browser tool to locate existing reservations.

After logging into the EMS Desktop client software:

  • Select the "Browser" icon from the top menu bar OR from the top drop-down menu options, select "Reservations> Reservations>Browser ".

    • Once the browser tool screen loads (this could take up to 20 sec), there are several fields that can be utilized to filter a search.  A search using additional fields is recommended.  Additional filters will appear when the "Advanced" button to the right of the date selection fields is selected.EMS browser tool basic to advance button screenshot
  • Below are a few suggested filters from the long list of available options in the "filter" tab near the top of the browser pop-up window. 
    • Dates: Select the "Starting Date" and "Ending Date" to narrow the search by date by entering a numerical version of a date or select the down arrow next to the date field and select a date from the calendar that appears as a small pop-up window.EMS browser tool date field screenshot
    • Note: For a more comprehensive history of reservations for a particular space such as a specific room (see additional field filter instructions below), leave the "starting date" and "ending date" fields blank.

    • Booking Building: Select the "Building" option from the building filter fields and use the right arrow to add it to the filter summary column.  Select "21 N Park St" from the available column on the left-hand of the pop-up window that appears and the right arrow to add it to the selected column on the right-hand side of the pop-up window. The field defaults to "equals" but another option can be selected from the drop-down menu available at the top of the pop-up window. Select "OK" to add this field to the filtered search.     • Reservation Everyday User Process Template: Select the "Everyday User Process Template" option from the booking filter fields and use the right arrow to add it to the filter summary column.  Select the template or templates preferred from the available column on the left-hand side of the pop-up window that appears and the right arrow to add it to the selected column on the right-hand side of the pop-up window. All everyday user templates at 21 N. Park St start with "WKSP" followed by the specific template name. The field defaults to "equals" but another option can be selected from the drop-down menu at the top of the pop-up window. Select "OK" to add this field to the filtered search.     • Filtering by Floor: Select the "Floor" option from the booking filter fields and use the right arrow to add it to the filter summary column.  Select the floor or floors preferred from the left-hand column of the pop-up window that appears and use the right arrow to add it to the selected column on the right-hand side of the pop-up window. The field defaults to "equals" but other options are available in the drop-down menu at the top of the pop-up window. Select "OK" to add this field to the filtered search.     • Filtering by Room: Select the "Room Code" from the booking filter options and use the right arrow to add it to the filter summary column.  From the pop-up window that appears, select "21 N Park St" as the building from the drop-down menu at the top of the pop-up window.  Once the rooms for the building load in the available column in the left-hand column of the pop-up window, select the preferred room or rooms by using the right arrow to move each room to the selected column on the right-hand side of the pop-up window.  When all preferred rooms have been added to the selected column, select "OK" to add this field to the filtered search EMS browser tool room code filter screenshot

  • Please note that these fields can be added as a "favorite" which will add the field to the "Favorite Fields" tab under the date filter in the pop-up window.  These fields will be saved for quickly filtering a search the next time the browser tool is opened.  To add a filter option to the "Favorite Fields" tab, select the preferred field and then select the "Add to Favorite" button near the bottom of the pop-up window.  Selected favorite fields will now be available in the "Favorite Field" tab each time the browser tool is opened.   • Other filters from the available list can also be selected to create a more refined list of search results.  The results using the above filters will include reservation details such as the reservation ID, reservation date, room/location, user name, and user email.  
  • Once all filter fields have been added to the "Filter Summary" column of the browser tool pop-up window, select "Get Data".  EMS browser tool get data button screenshot

  • The "Results" tab near the top of the browser tool pop-up window will be displayed with the filtered results.  

  • The "Export" file menu option at the browser tool pop-up window will open up a dialog window that allows the data to be exported as an Excel file and saved on your device. If search results return a large number of entries, the columns in the file can be set up to further filter the data. Or additional filters can be added to the Filter Summary column prior to exporting the data again. EMS browser tool results tab and export option screenshot
