Event Management System (EMS) FAQs

Below are some questions and answers as well as resources related to navigating and using the EMS website and spaces.

Who do I contact about my reservation?/Who is my EMS Admin?

Note: The EMS Admins listed below are for questions and concerns related to your reservation and/or an issue with the EMS system. If you are having issues specifically related to technology, please reach out to the IT contact in your division/department, DoIT or AIMS.

DCS: space@dcs.wisc.edu

DoBS: Carolyn Wolff, carolyn.wolff@wisc.edu

FP&M: Pat Fargen, pat.fargen@wisc.edu

OHR: accesscenter@ohr.wisc.edu

RSP: Paige Mussehl, paige.mussehl@rsp.wisc.edu

How do I find the space I reserved?

Find your space by selecting and reviewing 21 North Park Floor Plans PDFs.

Why are some spaces blocked/drop-in only?

Several spaces may be blocked or permanently booked and thus ineligible for reservation as they are drop-in or first come, first serve spaces. If you are looking for a space to reserve ahead of time, login to the EMS website to find and reserve a space in advance.

Why is the timing of the calendar file download incorrect?

The ICS Outlook file that can be downloaded after making a reservation on the EMS website is not currently showing the correct hours of the reservation.  This is a known issue that is being researched for correction.  Until it is corrected, please take note and correct the reservation times when using the downloadable file to add a reservation to an Outlook calendar.

Do I need to clean the space when I arrive and depart?

Cleaning and disinfection are a shared responsibility among everyone on campus. The cleaning and disinfection for shared workspaces, conference rooms, drop-in and flex spaces the responsibility belongs to the occupants and/or users of that space. Cleaning and disinfection supplies will be made available within each division/department. For everyone’s safety, do not assume a shared space was cleaned and disinfected by the previous occupant/user.

Please visit the FP&M Cleaning and Disinfection Responsibilities page for additional details.

How do I see a list view of available rooms instead of a calendar view?

The results when searching for a space to reserve can be displayed as a schedule/calendar view or as a list. The default view is the schedule/calendar view, but individual users can set their default preference for a group template (a group of rooms/workspaces) to display as a list by following the steps in the List or Schedule Default View document.
