How to batch download PDF applications

PDF Document Export

Exporting applications in bulk into PDF documents is a bit more involved, and might take a little trial and error depending on what information you want to download for each applicant.

  1. Select the Homepage Query you want and run it (steps to run a Homepage Query can be found here)
  2. Select PDF Document Export as your Output
  3. Click the Export button, which will bring up a popup window titled Select Parts
  4. Select how you want to download your applications:
    • Type: you decide if you want to download this information all in one big PDF file or separated into different PDF files
      • Export as single PDF: Using this type will compile all of the applications into one PDF file.
      • Export as individual PDFs within a ZIP archive: using this type will download an individual PDF file for each application and compile them into a ZIP file. If your plan is to disseminate applications to different reviewers, this will be the better option.
    • Format: Mostly this is asking if you want to include the following information on each page:
      • Include headers and footers: at the top of each page will be listed the applicant's name, date of birth, and Slate ID; at the bottom of each page will list the date it was downloaded, the part of the application, and page numbers
      • Include copy banner, headers, and footers: same as above, but it also includes the word Copy boldly on the top of each page.
      • Omit headers and footers: this will not provide header and footer information
      • Omit document resizing, headers, and footers: this will not provide header and footer information and does not resize uploaded documents to fit the page if it was larger than 8.5" X 11"
    • Insert Part: Here is where you decide which parts of the application you want to include. Because each program's application and review process is a bit different, there may be parts you do not need to include in a download. It may take a little trial and error to make sure you get the appropriate amount of information. Please see our "Tips & Tricks" section below.
  5. Once you've inserted the parts you want, you can click and drag them into the order you wish for them to appear.
  6. Select the Export button and your PDF(s) will download

 

Tips & Tricks for PDF Document Export

As mentioned above, there is some trial and error involved with figuring out how which information to actually include in your PDF downloads. Here are some tips to get you started:

Troubleshoot with a single PDF application first

  • Use the Omni Search to find an applicant to your program
  • Go to their Application Tab and select Download PDF
  • Try putting in different parts for this one applicant rather than for all of your applications, because it will be quicker to download

Start with these parts

  • Cover Page - This part will provide the applicant's name in big bold letters, along with the program, entry term, and the Slate ID number
  • Application - This part will provide if the application is reentry or new; personal information; citizenship; program selection; term selection; supplemental application answers; educational background; and funding and program participation (SROP, GEM, PEOPLE, McNair Scholars, etc.)
  • Material: Statement - This part will provide applicant's uploaded personal statement for the program
  • Material: CV/Resume - This part will provide the applicant's uploaded CV/Resume
  • Material: Transcript (Copy) - This part will provide the applicant's uploaded transcript(s)
  • Material: Transcript (Official) - This part will provide the applicant's official transcripts, if available
  • References - This part will provide the applicant's references, both the recommenders' survey rankings and uploaded letters of recommendation

Something missing? Try adding these additional parts

  • Missing uploads from your supplemental application? You may need to add the following:
    • Material: Supp App Background - Answers to questions approved by legal as a result of the Supreme Court decision on affirmative action
    • Material: Supp App Material 1 - If your Supp App requires the applicant to upload one or more documents, this part will show the first uploaded document
    • Material: Supp App Material 2 - If your Supp App requires the applicant to upload two or more documents, this part will show the second uploaded document
    • Material: Supp App Material 3 - If your Supp App requires the applicant to upload three documents, this part will show the third uploaded document
  • Does your program have a portfolio component to your application? You may need to add the following:
    • Portfolio (Thumbnails) 
    • Portfolio (Full Page) 
    • Portfolio (Representative Work) 
  • Want to include your Application Comments? You may need to add the following:
    • Comments - This part will print any comments you've put on the application; however, it will not include Annotations
