Changing Phone Numbers and Email Addresses Using Self Service in HRS

Overview

This document explains how to update your phone number and email addresses using eProfile via My UW System Portal.

Process Considerations:

  • Business Email Address should ALWAYS be the Preferred address. If, for some reason, the Preferred Email designation is changed from the Business Email Address, the HRS nightly processes will automatically reassign the Business Email to Preferred.
  • Preferred phone is defined as the primary phone number at which the employee wishes to be contacted for business purposes.  Only phone types of "Business" and "Business Other" should be marked Preferred.
  • POIs do have access to Self Service.

Instructions

  1. Login to My UW System Portal using your campus login as described in  UWSS Support - Logging into the My.Wisconsin.edu / My.Wisc.edu System Portal.

  2. Click the Personal Information tile.

  4. Click the Update My Personal Information link.

  5. Log into HRS using your Campus Credentials, if not already logged in.

  6. Click Contact Details in the left side menu.

Updating Phone Numbers

  1. To update an existing phone number, click on the row with the number to be changed.

    a. Enter the new phone number and click Save.
    b. To mark the number as preferred, click the Preferred box. Only phone types of "Business" and "Business Other" should be marked Preferred.
    c. To delete the number click Delete.
    Note: You are not allowed to delete a Phone Number when there is only one Phone Number listed. You must first add another Phone Number and designate it as "Preferred."

  2. Add a new Phone Number, click the Plus sign in the Phone section

    a. Select a Type from the drop down list
    b. Select Preferred if this is the preferred number. Only phone types of "Business" and "Business Other" should be marked Preferred.
    c. Enter a 10 digit phone number and extension (if needed)
    d. Click Save.

Updating Email Addresses

  1. To add a new email address, click on the plus sign under Email.

    a. Select an Email Type
    b. Enter an Email Address
    c. Click Save

  2. To update an existing email address, click on the row with the address to be changed.

    b. To delete the number click Delete.
