HRS HR Reporting - Passport/Visa Exp Report (SQR Report)

PER032 and UWHRR003 create reports that includes Passport and Visa Expiration details.

General Description:

This report lists employees and dependents that have passports, visas, or work permits on file that expire in 90 days of the report run date. The report is divided into two sections. The first section lists passport information. The second section lists visa and work permit information.

Process Inputs

There are 4 input parameters in the run control for this report:

  1. Department (Leave blank to include all departments in the reports)

  2. Empl Class (Check to include all Employee Classes or select specific values by using the Select Values button)
  3. Expiration From Date

  4. Expiration To Date

Process Outputs:

This process produces PDF Reports that includes Passport and Visa Expiration details.

Fields on the reports include: Empl ID, Dept ID, Name, Country, Passport Number, Issue Date and Expiration Date for the Passport Expiration portion of the report and Empl ID, Dept ID, Name, Country, Visa Permit Nbr, Type, Issue Date, and Expiration Date for the Visa Expiration portion of the report.

Distribution: This report will be ran on an Ad Hoc basis by Service Center and HR staff.

Process Considerations:

This report will be ran on an Ad Hoc basis utilizing the Department input value on the run control page. It should be noted that even though the Dept ID is a field on the report, it is currently not being displayed on the report output. UW does not consistently track passport expiration information, so the Passport Expiration section may not have values returned.

There are two versions of the report: PER032 is the PeopleSoft delivered version. UWHRR003 is the UW custom version. Either version can be run.


Procedure Steps:

To perform this procedure, please follow these steps to run and view the Passport/Visa Exp Report:

  1. Follow this navigation Workforce Administration > Personal Information > Citizenship > Passport/Visa Exp Report.
  2. Enter appropriate input parameters on the run control page (see above).

  3. Click on the Run button.
  4. Check the Passport/Visa Expiration Report (UWHRR003 is the custom UW version; PER032 is the delivered version) process check box (see above).

  5. Click the OK button.
  6. Click the Process Monitor Link to view the Run Status of the Passport/Visa Exp Report.

  7. Click the Refresh button to update the process Run Status.
  8. Click the Detail link when the Run Status equals Success and the Distribution Status equals Posted.

  9. Click the View Log/Trace link
  10. Click the uwhrr003_xxxxx.PDF(where xxxxx equals the Process Instance Number) link to display the Passport/Visa Exp Report (UW version).

  11. Click the per032_xxxxx.PDF(where xxxxx equals the Process Instance Number) link to display the Passport/Visa Exp Report (PeopleSoft delivered version.
