HR - Student Help - Maintain Workforce
GENERAL DESCRIPTION:
This process is used to maintain Student Help Job records. By adding a row and choosing the effective date, you may select actions and reasons to make changes to the job data record. Valid or common actions include Correct Pay Rate, Data Change, Data Correction, Pay Rate Change, Rehire, Termination or Transfer.
- Changes to Student Help job data may be made through either the Job Data page OR Job Data - Student Help Only, depending on your security access.
- Role for Job Data - Student Help Only is UW_UNV_HR_STUDENT_HELP_UPD.
- Changes to the data made on the Job Data - Student Help Only will be saved only for Employee Class of Student Help (SH). Trying to use these pages to change an Empl Class other than SH will result in an error and the record will not be saved.
- Changes to other Empl Class types should be made through the regular job data page Workforce Administration > Job Information > Job Data.
PROCEDURE STEPS:
A. General Process
- Navigate to Workforce Administration > Job Information > Job Data - Student Help Only
- Search for the student
- Click the + button to add a new row
- Enter Effective Date of change
- Click the Calculate Status and Dates button, if necessary
- Select an Action code:
- Correct Pay Rate
- Data Change
- Data Correction
- Pay Rate Change
- Rehire
- Termination
- Transfer
- Select a Reason code appropriate with Action selected, above
- Make additional change (if applicable)
- Click Save button.
B. Student Help - Change Working Title
- Navigate to Workforce Administration > Job Information > Job Data - Student Help Only
- Enter Empl ID and Empl Record, or Name and Last Name, and click Search
- Click the + button to add a new row
- Enter the Effective Date
- Click the Calculate Status and Dates button, if necessary
- Select Action code "Data Change"
- Select Reason code "Change to Working Title"
- Click on the UW Custom tab
- Enter the new Working Title
- Click Save

C. Student Help - Pay Rate Change
- Navigate to Workforce Administration > Job Information > Job Data - Student Help Only
- Enter Empl ID and Empl Record, or Name and Last Name, and click Search
- Click the + button to add a new row
- Enter the Effective Date
- Click the Calculate Status and Dates button, if necessary
- Select the Action code "Pay Rate Change"
- Select the Reason code "Student Help Rate Increase"
- Click on the Compensation tab
- Enter the new Comp Rate and click Calculate Compensation
- Click Save
