HS-IRBs News: February 2014 ARROW Update
Health Sciences and Minimal Risk IRBs, IRB News / ARROW Update February 2014
We are continually updating ARROW in response to feedback we receive from ARROW users across campus. Several changes will be coming to ARROW starting the week of February 10th , 2014 - including navigation and functional improvements. Below is a summary of the main changes users will likely notice. If you have any questions about these changes to ARROW or have recommendations for future changes to the system, please email email@example.com.
Updated Help Links in the Initial Review Form
All existing help links in the initial review form will be updated. The new links direct users to documents on the HS-IRBs’ or HRPP website. In future, new links will be added to the initial review form and links in the continuing review and reportable events forms will be updated.
Five Year Renewal Notifications in ARROW
Currently, IRB staff email study teams with a copy of the continuing review approval letter to notify them that a study is subject to the five year renewal policy. A new activity in ARROW will allow IRB staff to send an email notification to study teams informing them that a study is subject to the five year policy. A note that a five year renewal notification has been sent also will appear in the history tab for that continuing review. Five year renewal language will still be included in continuing review approval letters, but the letters will no longer be emailed directly to study teams outside of ARROW. Study teams who have questions about whether their study is subject to the five year renewal policy should review the [Link for document 29794 is unavailable at this time] and email firstname.lastname@example.org with any questions.
Changing Study Team Personnel with Changes of Protocol
Currently, study teams must submit a personnel change to add or remove any key personnel (apart from the PI). Beginning next week, study teams will be able to update study team members as part of a full or expedited change of protocol. This will help ease the review process for changes of protocol that also require changes in personnel (e.g., adding personnel from non-UW sites, updating the trainee status of a study). Please note: Study teams should still continue to submit personnel changes when the ONLY changes being made are to study personnel (apart from PI changes, which still need to be submitted as full changes of protocol). Please do NOT submit a full or expedited change only to change study team personnel. Personnel changes are typically approved within 1-2 business days of receipt and are not subject to IRB fees.
Improved Printer Version of Applications
printer version of all applications in ARROW will be improved to allow
display of some or all pages of the completed application. Study teams can
still print the full completed application and use the search function when an
application is printed to PDF. The new format allows for quicker navigation to
specific pages in the application rather than scrolling through the entire
application. More information on using the new format will be available on [Link for document 37338 is unavailable at this time] .
Reformatted Workspace Buttons and Breadcrumb
Many of the buttons in ARROW will be reformatted to include icons and bold, larger font to improve visibility. The workspace breadcrumb also will be in bold font to help make it easier to locate.
New Time for Change of Protocol Snaphot
When a change of protocol is approved, ARROW creates a snapshot of both the change of protocol form and the modified application. Rather than being created upon approval of the change, the snapshots will now be created the evening after the change is approved. This will allow the snapshot function to be less of a drag on system performance by running at a non-peak time.
