Glossary L3 Participants Actions

Gives you descriptions of the filters, fields and action buttons in the the Participants Actions report located in CSIS.

Filters

  • Fiscal Year - The year the courses are created in.
  • Department - Departments setup in your instance of CSIS that connect to courses.
  • GS Link Clicked -Pull the learners who have been sent their get started emails. - Yes means the learner has clicked on the link. No means the learner has not clicked on the link.
  • NetID Activated - Yes means the learner’s NetID has been activated. No means the learner’s NetID has not been activated.
  • LMS Space Access - Yes means they have access to their Canvas class. No means the learner does not have access to their Canvas course.
  • Start Date Range - start to End - Enter dates and this will pull all the learners for the courses whose start dates are in that range.

Headers in the report

  • First Name and Last Name - Learner’s name 
  • Email address - Learner’s email address associated with NetID
  • Instance Name - Name of course learner is registered or enrolled
  • Instance number - number associated with course
  • LMS Space - Name of Canvas shell associated with course and learner
  • Reg Created - when learner populated into CSIS
  • Confirmation sent date - when the first get started email was sent
  • GS link clicked - The date and time that someone (anyone) most recently clicked this particular Get Started link. This can be useful to determine whether (and when) the Get Started email was definitely received and furthermore used. "N/A" means this particular Get Started link has never been used, so far.
  • PVI (Publicly Visible Identifier) -This is a UW-Madison internal database identifier associated with this person’s email address. May be useful in the context of communication with CSIS Support or DoIT about NetID problems for this person.
  • NetID Activation - This will show "Yes" only during the - usually very brief - period between when a learner has requested a new NetID for themselves (which necessarily implies they successfully used their Get Started link) and the corresponding NetID activation key became available and was sent over to the learner. If this remains "Yes" for more than 24 hours then there is definitely a technical problem somewhere between CSIS and the NetID service, please contact CSIS Support. Usually it should not show "Yes" for more than 30 minutes or so.
  • LMS Space Access - Shows if learner still has access to canvas shell. If no, then access end date most likely has passed.
  • Fiscal Year - The fiscal year the course is in
  • Course start date - The date the course starts
  • Registration_key - unique part of the get started link that is personalized to the specific learner
  • GS link - the personalized Get Started link for the particular learner. You can copy and paste this link in a personalized email to the learner.

Blue Action buttons

  • Export to Excel - export list of learners with all information seen below to an excel sheet.
  • Send Enrollments All Selected  - will send an enrollment message to Canvas for the learners on the list below.
  • Send Get Started Emails to All Selected - will send the get started email to all the learners on the list below.
  • Send NetID Emails to All Selected - will send the NetID activation email to all the learners on the list below.
